Job Purpose
This role will be responsible for supporting the delivery of Villiers Park programmes across the country, supporting key elements of programme delivery, including cross-hub administration, communications, and lead the organisation of residentials. You will work closely with other members of the Programmes team and the wider organisation.
Reporting to: Assistant Director, Future Leaders Programme and Designated Safeguarding Lead.

Safeguarding is embedded in all aspects of Villiers Park's work and integral to the commitment we make to our schools, partners, and the young people and communities we serve and work with. All employees and volunteers are expected to share this commitment by adhering to our organisational safeguarding procedures, attending regular in-house training, and keeping up to date with developments in policies and legislation.
You will agree to undergo an Enhanced Disclosure and Barring Services check and successfully complete our mandatory online training courses including NSPCC Safeguarding in Schools and PREVENT training.
Duties and responsibilities
Key Responsibilities:
Cross-hub programme administration and communications
- Be the first point of contact for enquiries from schools and colleges, ensuring all queries are responded to promptly, tracked effectively, and coordinated with colleagues as needed. Support this by managing the Programmes Team inbox and working with the Fundraising team to keep Salesforce records accurate and up to date.
- Work with Regional Leads to maintain accurate records of all partner schools and colleges and lead contacts on internal systems.
- Working with the Villiers Park Designated Safeguarding Lead, support the organisation and administration of the safeguarding committee meetings. Support the regional programmes teams to ensure our programme administration is delivered in line with our safeguarding policy and processes.
- Working with staff across Villiers Park, coordinate the development and completion of the annual programme calendar/s, to holistically capture all planned activities, support the Senior Leadership Team (SLT) to plan and manage workloads and resources, to ensure coordination across teams and leverage opportunities to promote our work.
- With the Assistant Director, Future Leaders Programme and Designated Safeguarding Lead, coordinate and take responsibility for developing, reviewing, updating, and issuing annual documentation to all partner schools and colleges, for example, risk assessments, template letters for activities, event checklists, Letters of Assurance, Terms of Agreement, Data Sharing Agreements, School/College Annual Impact Reports, etc.
- Work with the wider team to ensure that resources and materials used in programme delivery support effective stakeholder communications, for example, developing, updating, and sharing branded resources and materials, providing information about events and activities to the Fundraising and Communications teams, and coordinating regular meetings between teams.

Residential Events
- With oversight from the Assistant Director, Partnerships and Evaluation, lead the organisation and planning, risk management, and logistics for Villiers Park residentials. This includes liaising with external partners, venues, and activity providers, as well as with attendees, schools, parents/carers, and Regional Leads.
- Support relevant staff and external partners who are responsible for the content delivery of Villiers Park residentials by supporting the logistics of sessions and ensuring they have access to necessary resources, equipment, spaces, etc.
General Duties
- Work with colleagues to plan and deliver activities for students on specific programmes.
- Undertake CPD to support your own learning and development.
- Ensure compliance with safeguarding, GDPR, health and safety, and Villiers Park’s policies and staff handbook.
- Share best practice and contribute to the overall development of the Charity’s programmes.

Other requirements:
- Flexibility in working hours to suit the post requirements, including occasional evening and overnight work, for which Time Off in Lieu (TOIL) will be agreed in line with Villiers Park’s TOIL Policy.
- As this role will involve regular contact with young people, the successful candidate will be required to complete an enhanced DBS check with a barred list check.
Skills and experience:
- Experience of organising events or workshops.
- Excellent communication skills and the ability to build relationships with internal and external stakeholders.
- Excellent understanding of safeguarding.
- An understanding of decision-making within schools.
- Proactive approach.
- Strong understanding of Microsoft tools including Excel and Outlook.
- Willingness to learn and be flexible in their approach.
Desirable skills and experience:
- Experience of coordinating projects in the education sector, including risk management.
- Experience of delivering workshops or events with young people.
Personal attributes:
- Passionate about social mobility and improving the learning experience of young people from under-represented backgrounds.
- Excellent planning and organisational skills.
- A team-player who enjoys working collaboratively.

Working pattern: 4 days per week, i.e. 0.8FTE (with Wednesday as a core working day)
Salary FTE: £28,644 to £30,596
Location: UK-based, hybrid working. You can be based anywhere in the UK, provided you are within reasonable commuting distance of one of our Regional Hubs and can attend the Hub when required.
