Centralised Projects Administration Support Coordinator

Location – Hybrid / Office Based

Salary - £31,325 - £36,024

At DTGen, we're part of the DCC Energy GB family and we're proud to deliver specialist power generation and engineering solutions that support critical infrastructure across the UK. As our business continues to grow, we're looking for a highly organised and proactive Centralised Projects Administration Support Coordinator to join our Projects team and play a key role in supporting successful project delivery.

This role sits at the heart of our project operations, acting as a central point of coordination between Project Managers, Engineers, Suppliers, Logistics Providers, Finance teams and operational functions. You'll help ensure projects run smoothly by supporting procurement activities, managing project administration, coordinating logistics and maintaining accurate project documentation.

We're looking for someone who enjoys working in a fast-paced environment, has excellent organisational skills and can confidently manage multiple priorities. What you'll be doing:

  • Raising and processing purchase orders in line with company procedures and approval processes.
  • Monitoring purchase orders through to receipt and invoice reconciliation, ensuring accurate record keeping throughout the process.
  • Liaising with suppliers regarding quotations, lead times, order confirmations and delivery schedules.
  • Coordinating equipment, materials and service deliveries to customer sites and engineering locations.
  • Tracking shipments, deliveries and project logistics to support key project milestones.
  • Maintaining project trackers, action logs, schedules and status reports across multiple concurrent projects.
  • Supporting project meetings through agenda preparation, minute taking and action tracking.
  • Managing document repositories and ensuring project records remain accurate, controlled and accessible.
  • Assisting with project reporting, governance activities and continuous improvement initiatives.
  • Supporting resource planning, supplier onboarding and wider operational administration activities.

What we're looking for:

  • Previous experience in project administration, project coordination, operations support or procurement administration.
  • Experience raising and tracking purchase orders.
  • Experience coordinating suppliers and delivery schedules.
  • Strong organisational and planning abilities.
  • Excellent communication and stakeholder management skills.
  • Experience producing meeting minutes and maintaining action trackers.
  • Strong Microsoft Office skills, including Excel, Word, Outlook and Microsoft Teams.
