Project Administration Coordinator

Coffey, A Tetra Tech Company, is looking for a proactive Project Administration Coordinator to support the successful delivery of geotechnical engineering projects based in our Reading office.

Purpose & Scope of the Role

This is a pivotal coordination role, providing essential administrative, financial and operational support to project teams ensuring projects remain on schedule, compliant and efficiently managed. You will work closely with project managers, technical specialists and stakeholders to maintain project documentation, reporting, procurement activities, system administration and billing administration processes.

Your Impact in this Position

You will play a key role in keeping the office and projects running smoothly by ensuring accurate coordination, effective communication and strong administrative control across multiple workstreams. Your ability to manage competing priorities, maintain high attention to detail and support technical teams will directly contribute to successful project outcomes, improved efficiency and a positive client experience.

Communication & Stakeholder Support

  • Coordinate meetings, workshops and project communications.
  • Build effective working relationships across business and operational teams.
  • Prepare and maintain accuracy across reports, presentations and project documentation.

Financial, Billing & Commercial Administration

  • Lead on project system management, invoicing, billing administration and purchase orders.
  • Support project budget tracking, timesheet coordination and cost reporting.
  • Liaise with finance and wider business teams where appropriate.

Organisation & Time Management

  • Organise travel arrangements to support project requirements including overseas.
  • Manage multiple priorities across concurrent activities.
  • Proactively follow up on actions and outstanding tasks.
  • Maintain a structured and efficient approach in a dynamic environment.

Technical & Systems Capability

  • Use an Oracle based bespoke Tetralinx system for project finance management.
  • Support reporting, document control and data management activities.

Training, Qualifications & Experience

Strong interpersonal and organisational skills are essential. Knowledge of integrated management systems and ISO accreditations would be beneficial. You should be confident using Microsoft 365 applications including Word, Excel, Outlook and PowerPoint, with the ability to learn new systems quickly. Experience supporting engineering, construction, infrastructure or professional services teams would be highly regarded.

This is an office based position in our Reading office.
