Join us as a Project Administrator - 12 Month FTC
As a Project Administrator, you'll provide essential administrative support to our New Installations and Modernisation teams, helping projects progress smoothly from order placement through to completion and customer handover.
This is a 12-month fixed term contract covering maternity leave and would suit an experienced administrator or a highly organised, computer-literate individual looking to develop a career within a busy engineering and project environment. Working closely with sales, project management, engineering and logistics teams, you'll play a key role in ensuring projects are accurately coordinated, well documented and delivered efficiently.
Your Main Responsibilities
In this role, you'll be responsible for:
- Providing administrative support to the New Installations and Modernisation sales and fulfilment teams
- Coordinating material requests and purchase orders with engineering, logistics and project delivery teams
- Carrying out project booking and order validation checks, ensuring information is complete and accurate
- Processing and maintaining project orders within company systems
- Supporting material planning activities and assisting with special material requests
- Managing project documentation and maintaining accurate document control records
- Creating health and safety packs, site folders, handover documentation and owner manuals
- Uploading and maintaining project documentation within company systems
- Supporting project handovers by ensuring all required documentation is completed and available
- Raising invoices and supporting billing activities for installation and modernisation projects
- Processing engineers' timesheets and maintaining accurate workforce records
- Producing and updating lift layout drawings using company systems and project documentation
- Reviewing project information from sales and project teams, identifying discrepancies and resolving issues proactively
- Processing project variations, amendments and cancellations while maintaining accurate project records
- Building effective working relationships with colleagues across sales, engineering, logistics and fulfilment functions
- Supporting additional administrative and coordination activities as required by the business

Essential
Who you are
- Good IT skills and confidence using Microsoft Office applications
- Ability to learn new systems and processes quickly
- Strong organisational skills with the ability to manage multiple tasks and priorities
- Excellent attention to detail and accuracy
- Strong verbal and written communication skills
- A proactive and positive approach to work
- Good problem-solving skills and the ability to identify and resolve issues
- Ability to work effectively both independently and as part of a team
- Strong relationship-building skills and a customer-focused mindset
Desirable
- Previous experience in an administration, project support, customer service, scheduling or coordination role
- Experience using SAP or similar business systems
- Experience within an engineering, construction, manufacturing, logistics or building services environment
- Knowledge of lift, escalator, installation or modernisation projects
