Project Administrator

We are currently looking for a talented and motivated Project Administrator to join our Project Support team in Leeds. This role can be worked on either a part-time or full-time basis, with a minimum of 3 days per week in the office (pro rata’d for part-time) and the option of adjusted start and finish times.

This role supports projects in our Infrastructure and Environment division by providing timely, efficient, and professional project administration support to Project Managers using our financial system Deltek Maconomy and other company databases.

What Does the Role Involve?

The Project Administrator Will Be Responsible For:

  • Setting up and updating projects in the financial system, ensuring the system reflects the latest financial position by liaising with Project Managers.
  • Maintaining detailed Microsoft Excel reports on project progress, and responsibility for communicating the data to the wider teams
  • Providing financial analysis and problem-solving skills to Project Managers to aid the more cohesive running of their projects
  • Supporting and facilitating the adherence to agreed processes and procedures, such as project reviews and billing schedules
  • Controlling key administrative responsibilities, such as our client feedback forum, project audits, and month-end procedures
  • Liaising with Project Managers to ensure invoices and applications for payment are issued in a timely manner.
  • Working with Project Support colleagues to ensure clients and technical colleagues receive a prompt, professional, and efficient service.
  • Working with Team Managers to provide an overview of project performance and understanding of P&L results
  • Acting as a key participant in the Project Support Community and working closely with other team members to provide a well-rounded service

To Be Successful In This Role You'll Possess

  • An understanding of financial project management systems, a strong work ethic, a people-focused mindset, and the ability to follow processes and multitask. A support role like this means being a key point of contact for many, so strong communication skills will be important for our ideal candidate. You will need a good level of skill in Microsoft Excel, but additional training can and will be provided if successful.

What’s in it for you?

Working at Sweco, you’ll experience an inclusive, friendly, and flexible working environment where colleagues are encouraged to grow and develop. A meaningful job where you’ll help to transform society by being a trusted consultant to our internal project teams.

I’m in my final year doing Economics and I don’t know whether to apply for grad schemes now or do a masters first. What do you think?

Honest answer — it depends on where you want to end up. A lot of top grad schemes (Big 4, civil service, banking) don’t need a masters. Let’s look at the ones you’d be competitive for now, and we can decide if a masters actually adds anything.

Also worth knowing: most autumn 2026 applications are open now. Timing matters more than you think.

Start with a chat, not a search bar

Grad scheme, placement, apprenticeship? Not sure what you want yet — that's fine. Your agent talks it through with you and turns "I have no idea" into a shortlist.
