Young People & Families

Our Young People & Families (YP&F) Hub delivers a wide range of integrated support services that are designed to help resolve complex difficulties experienced by young people and their families/carers.

Support is provided to people who find themselves in a range of circumstances; they may be missing from home, or have emotional, housing, or substance misuse issues. We also support families where parents/carers are experiencing domestic abuse, sexual violence, substance misuse, emotional issues, homelessness, or unemployment. Whatever the situation, we work alongside young people and their carers to find a way of stabilising their lives.

Job Description

  • To undertake and maintain required standards necessary to access and operate a suite of case management and recording systems.
  • To undertake, maintain and submit data to the Mental Health Services Data Set (MHSDS)
  • To have direct access to case management systems to download reports.
  • To access case management system to review and research records on young people in service
  • To support the team to manage young people contact through phone line access, secure e-mail access, secure text messaging and postal correspondence.
  • To ensure the interaction between systems and organisations are all correctly updated, including the transfer and recording of any material received by email and paper records
  • To support the senior team in the preparation and allocation of young people referrals into appropriate pathways
  • To ensure all adult and young people safeguarding documentation is managed in accordance with policy.
  • To support the team to ensure all young people referrals are identified, actioned and facilitated as identified.
  • To ensure all relevant case information is appropriately recorded on agreed systems in line with the contract requirements.
  • To ensure all contractual and operational data and management information requirements are maintained and reports produced as directed by the Head of Service.
  • To maintain compliance and adherence with all audit requirements as directed by Catch22 and the authority.
  • To maintain an interest and good working knowledge of young people’s mental health
  • To prepare and maintain appropriate written and IT records, information and reports on the work in a contemporaneous and articulate manner.
  • To attend and contribute to board, team and service meetings as appropriate including taking and distributing minutes.
  • To review and respond to administrative requests and routine issues subject to considerations of commercial sensitivity and confidentiality.
  • To answer and manage incoming calls and emails, responding appropriately according to urgency.
  • Manage specific projects as directed by the Service Manager and Assistant Director.
  • To support the other managers and teams in organising events, team meetings, including booking venues, booking transport communicating with participants, team, preparing resources, agenda, minutes, presentations and monitoring agreed actions.
  • To work collaboratively with managers and teams to facilitate the co-production and participation of young people in the delivery of the service and support in events and activities
  • Ensure that invoices are processed in a timely manner and related financial records are kept up to date– in accordance with Catch22 financial policy and procedure
  • To develop and maintain effective administration systems as required
  • To support Managers with recruitment including advertising, processing on-line DBS forms, references and all other recruitment systems.
  • To provide support with regard to facilities, i.e. ordering stationary, IT ordering, mobile phones, ID cards, uniforms etc.
  • To assist with Health & Safety functions, i.e. processing incident reports and uploading
  • To attend Catch22 and consortium networking meetings and promotional events as and when required.
  • Other duties relevant to the post.
  • To ensure that all data and information is managed, stored and destroyed in line with agreed data management policies compliant with the Data Protection Act 1988 and 2003 and GDPR processes and procedures.
  • Lead on processing and monitoring service expenses, receipt claims, and financial records, ensuring compliance with organisational policies and procedures
  • Support The Hive's communications, marketing, and social media activity, including creating content, promoting services and events, and maintaining online platforms.

Qualifications

  • Educated to good standard, including as a minimum
  • GCSE level English and maths
  • Graduate and/or professional qualification in a statistical, analytical, social science, business management or related discipline.

Additional Information

  • Salary: £28,550 per annum
  • Hours of work: Full time, 37 hours per week
  • Contract: Permanent
  • Location: The Hive, London (South Hampstead)
  • This role is subject to an Enhanced DBS check.
