Role Summary
This is a fully remote role supporting an Australian residential and commercial building practice, with genuine scope to grow your estimating and project finance skills alongside an experienced team.
We are seeking a candidate who brings a strong combination of administration and estimating experience, with the confidence and enthusiasm to incorporate AI tools into their daily workflow. The successful candidate will be adaptable and willing to provide occasional flexibility when urgent tasks arise. We value reliability and long-term commitment, so we are looking for someone with a stable employment history who has demonstrated the ability to build lasting relationships with previous employers and is genuinely interested in developing a long-term career with our team.
Key Responsibilities
- Process and verify supplier and subcontractor invoices, identifying discrepancies, duplicate charges, or unusual amounts before payment is approved
- Draft job quotes and proposals based on project specifications and direction from the builder
- Assist with estimating and quantity takeoffs under the supervision of a qualified estimator
- Prepare and submit credit applications, supplier account forms, and other project documentation
- Maintain and update project trackers, job files, and cost records across active projects
- Liaise with suppliers, subcontractors, and clients on administrative matters as required
- Support general ad hoc administration to keep projects moving efficiently
- Provide comprehensive administrative support, including ordering uniforms, managing toll tags and fuel cards, coordinating Bunnings accounts, and sourcing supplies for both site and office operations.
- Responsible for onboarding new employees into construction management software (BuilderTrend).
- Proficient in design and branding tools such as Canva, PowerPoint, and Adobe Creative Suite. Responsible for creating and maintaining high-quality, professionally branded documentation, including company brochures, project portfolio PDFs, “Meet the Team” profiles, and construction handover packs.

What We Are Looking For
- Bachelor's degree in civil engineering or a related discipline
- Previous experience in a project administration, accounts, or estimating support role within the Australian construction or building industry
- Strong background combining administration and estimating experience
- Confidence and enthusiasm for using AI tools to improve day-to-day efficiency and workflows
- Ability to provide occasional flexibility when urgent priorities arise
- Proven employment stability, ideally with previous roles lasting two years or more
- A genuine interest in long-term growth and becoming a valued member of our team
- Solid understanding of construction invoicing, progress claims, and cost tracking
- Proficiency in Microsoft Office and Google Workspace, plus working knowledge of accounting or job management platforms such as Xero, MYOB, Buildxact, or CoConstruct

- Stable work-from-home setup (reliable internet, laptop/desktop, quiet workspace)
- Proactive attitude, able to follow up suppliers, subcontractors, and clients without being prompted
- Comfortable working across multiple active projects simultaneously
