We are embarking on a huge program of global business transformation enabled by the implementation of a new global technology solution. The delivery and embedding of this technology solution across our highly successful and highly de-centralized business will change the way we work forever, enabling greater data insight, simplification of processes and ways of working and creating greater collaboration across the business.
The Project Administrator
The Project Administrator will provide outstanding administrative support across the Program team. This busy and varied role will require excellent attention to detail, multi-tasking and prioritization skills and will make a key contribution to the success of the team.

Key Responsibilities
- Organize complex meetings requiring multiple stakeholders over multiple time zones
- Support with recruitment and onboarding of the Program team, to include arranging interviews and organizing program inductions
- Oversee all facilities and technology requirements for the program team ensuring that everyone has what they need to get the job done!
- Manage the Teams site for the Program team ensuring good file structure and ongoing management of all documentation
- Work closely with the workstream Project Managers providing support as needed on their workstream requirements
- Organize international travel as required for the program team
- Maintain Program’s correspondence received through the generic mailbox
- Support with any program team related activities, which could include helping with organizing team events or managing the team holiday tracker to identify any points of conflict
- Some diary management as needed for the Program Leadership team
- Any other administrative or coordination activities that support program delivery
Skills, Knowledge and Expertise
- Previous experience of working in a busy, high profile administration role managing multiple priorities and a variety of different stakeholders
- Reliable, resilient and able to work at a fast pace
- Previous experience of working on a global business project advantageous
- Experience of coordinating activities across diverse and global teams
- Excellent attention to detail
- Excellent relationship building skills
- Ability to work under own initiative and take ownership of tasks
- Ability and experience of working to tight deadlines without compromising quality
- Strong MS office skills across word, excel and PowerPoint
- Passionate about the company’s vision for its future and about being part of the journey to get there
- Highly resilient and embraces change and challenge with a growth mindset
- Acts as an ambassador for Program Optimus
