About CSG Project Management CSG Project Management is an independent construction consultancy specialising in project management, PFI lifecycle management, capital projects, fire safety, building surveying coordination and mechanical & electrical projects. Our clients include PFI providers, NHS organisations, public sector bodies, charities and private organisations. Role Purpose The Project Administrator / Project Support will help ensure that project and operational information is accurate, current and accessible. The role will focus on maintaining trackers, coordinating correspondence, monitoring actions and providing day-to-day administrative support to Project Managers and General Managers across multiple healthcare facilities.

The position is suited to a highly organised and proactive individual who communicates professionally, manages competing priorities and takes care with records and follow-up. Previous experience in project administration, facilities management or a healthcare environment would be beneficial.

Key Responsibilities

  • Create, update and maintain project and operational trackers, including actions, risks, issues, works, progress and reporting logs.
  • Monitor outstanding actions, follow up with responsible parties and flag overdue items or matters requiring escalation.
  • Manage incoming and outgoing correspondence, maintaining clear records, document references and response deadlines.
  • Provide day-to-day administrative support to Project Managers / General Managers across multiple PFI healthcare facilities.
  • Arrange meetings, prepare agendas and papers, take minutes and circulate action notes promptly.
  • Maintain organised electronic project files, registers and shared folders, ensuring information is current and readily accessible.
  • Assist with management reports, dashboards, presentations and routine client updates.
  • Coordinate information requests between General Managers, FM providers, Trust representatives, consultants and contractors.
  • Assist with document control, including logging submissions, tracking reviews and maintaining revision records.
  • Handle commercially sensitive and confidential information appropriately.
  • Represent CSG professionally and contribute to positive working relationships with clients and project stakeholders.

Essential Requirements

  • Strong administration, coordination or project support experience.
  • Excellent written and verbal communication skills.
  • Strong organisational skills, attention to detail and ability to manage multiple priorities.
  • Confident using Microsoft Word, Excel and Outlook, including maintaining spreadsheets and trackers.
  • A methodical approach to record keeping, follow-up and meeting deadlines.
  • Able to work independently, use initiative and escalate issues when appropriate.
  • Professional, reliable and discreet when handling sensitive information.

Desirable

  • Experience supporting projects, facilities management or operational teams.
  • Experience in an NHS, healthcare, PFI or public-sector environment.
  • Familiarity with lifecycle, maintenance, compliance or project action trackers.
  • Experience preparing meeting minutes, management reports or dashboard updates.
  • Full UK Driving Licence and willingness to travel to sites when required.
