Job Description

Kanadevia Inova is hiring a Project Assistant based at our Farnborough office. This position is offered on a permanent basis, with hybrid working available.

Key Responsibilities

  • A large proportion of this role will include booking travel and accommodation
  • Coordinate and maintain project documents, drawings and data within PIRS, IFS and other project management systems.
  • Support document control activities and prepare reports on document receipt, distribution and status.
  • Manage project correspondence and coordinate the distribution and follow-up of project tasks.
  • Maintain project processes, working instructions and relevant intranet content.
  • Organise workshops, meetings, events and business travel, including expense reporting.
  • Support the onboarding of new employees by introducing relevant tools, systems and processes.
  • Provide general administrative support, deputise for other Project Assistants and supervise trainees when required.
  • Promote awareness of and compliance with all relevant Health, Safety and Environmental requirements.

Qualifications

  • Commercial or administrative education, or relevant experience in a similar project support role.
  • Very good knowledge of Microsoft Office applications.
  • Experience with databases and document management systems, PIRS or similar tools.
  • High level of IT proficiency and confidence in learning new systems.
  • Strong organisational skills with a structured, accurate and reliable approach.
  • Ability to coordinate multiple administrative and project-related priorities effectively.
  • Very good command of English; German, French or Italian would be an advantage.
  • Collaborative and service-oriented approach, with the flexibility to support colleagues across the project organisation.
