About The Role

We currently have an exciting opportunity for a Project Co-ordinator to join our Finance team based in Falkirk. You will provide practical co-ordination and high-quality administrative support to the Project Assurance Committee, project managers, project owners and specialist advisers, helping ensure projects and programmes are planned, monitored and reported consistently.

The role is offered on a permanent basis, working 35 hours per week on a hybrid basis.

  • Monitor progress across the project portfolio, maintaining current milestones, dependencies, financial profiles and resource requirements.
  • Prepare, quality-check and issue fortnightly portfolio reports, clearly highlighting progress, risks, delays, exceptions and decisions required.
  • Maintain project plans, templates, registers, governance records, change logs and clear audit trails.
  • Co-ordinate Project Assurance Committee and other governance meetings, including schedules, agendas, papers, minutes, decisions and actions.
  • Work with finance colleagues and project teams to reconcile delivery information with budgets, forecasts, capital expenditure and fixed asset records.
  • Provide practical guidance and training on project templates, reporting, change control and escalation requirements.

About The Reward

This role offers a progressive starting salary of £36,766 - £40,187 (Band D).

Scottish Canals offer a generous annual leave entitlement of 224 hours, plus 6 public holidays, along with enhanced sick pay, discounted shopping vouchers, health cash plan and a contributory pension scheme with up to 10% employer contribution.

About You

Qualifications and knowledge

  • A relevant HNC/HND, degree or equivalent qualification, or substantial relevant experience in project support, business administration, governance, performance reporting, education, public services or a comparable co-ordination role.
  • Good working knowledge of Microsoft 365, particularly Teams, SharePoint, Outlook, Word, Excel and PowerPoint.
  • An understanding of structured planning and monitoring, including milestones, actions, risks, issues, changes and completion requirements.
  • Understanding of data protection, records management and the need for robust evidence and audit trails.

Skills And Experience

  • Experience of providing co-ordination and administrative support in a project, programme, governance, performance, business-support, education, public-service or business-improvement environment.
  • Experience of maintaining plans or schedules, monitoring milestones, managing actions and records, and producing accurate management or compliance information.
  • Experience of collating information from multiple contributors and preparing reports, dashboards, presentations, progress updates or compliance returns.
  • Strong planning, organisation and communication skills, with close attention to detail and the ability to manage competing priorities and deadlines.
  • Ability to build effective stakeholder relationships, follow up actions constructively and present clear information for different audiences.

Qualities & Abilities

  • Collaborative, organised and responsive, with the initiative to identify practical improvements and escalate concerns appropriately.
  • Able to facilitate practical training and explain templates, processes and reporting requirements clearly to users with different levels of experience.
