Operations Coordinator

Salary: £35,000 - £37,000
Location: Bank, City of London
Hybrid - 3 days in the office.

Are you a highly organised administrator with a keen eye for detail and experience producing high quality work?

We are working with a contemporary, busy and fast-paced interiors & office relocation company who are seeking a Project & Office Coordinator to support the Sales, Operations and Project team.

An exciting time to join, this small business is growing and you will be part of this expansion.

They are looking to invest in this role by offering training, both internal and external with a clear career progression path to a senior operations role.

This is a varied role with a strong focus on business administration, project support and operational coordination.

Key responsibilities will include:

  • Project Coordination - you will be the operational backbone of their project delivery including:
    • Arranging project logistics from booking hotels to coordinating meeting times and site access
    • Completing paperwork and end of project sign-offs
    • Liaising with project managers to allocate the right resource to each project

  • Supplier & Client Relationships:

    • Reaching out to suppliers to gather quotes and costs for project requirements
    • Acting as a day-to-day point of contact for clients, keeping them updated on progress
    • Building and maintaining strong working relationships with suppliers
    • Arranging and organising storage requests from clients, coordinating collection and retrieval
  • Project Finance & Payroll

    • Tracking costs projects and ensuring accurate allocation of project spend
    • Raising purchase orders for suppliers and assisting with month end invoicing to clients
    • Managing day-to-day office spending, including train tickets and consumables
    • Supporting a working understanding of project profit and loss

About you

  • Previous experience in an Operations Coordinator, Administrator, Project Administrator or similar role
  • Clear communicator, strong written English with exceptional proofreading and formatting skills
  • Technically capable, particularly Word, PowerPoint and Excel
  • Highly organised with excellent attention to detail
  • Able to manage multiple deadlines within a fast-paced environment
  • Financially minded
  • A proactive, hands-on approach with a willingness to support the wider team where required
