Job Title: Project Coordinator
Department: Project Management and Support
Hours: 37.5 hours per week
Contract Type: Permanent
Location: Remote-Flexible
Salary: £31,000 GBP pa
Travel Requirements: Occasional travel within the UK may be requested
Overview Of The Role
As a Project Coordinator, you will play a vital role in supporting the successful planning, coordination, and delivery of Etio's programmes and projects.
Working closely with Project Managers, Programme Managers, delivery teams, clients, and stakeholders, you will help ensure projects are effectively coordinated, tracked, and delivered against agreed timelines, budgets, and objectives. You will provide operational, administrative, and project support across multiple workstreams, helping to manage project plans, governance activities, stakeholder communications, reporting, risk tracking, and delivery milestones.
You will be part of a collaborative team committed to service excellence and supporting education professionals across the UK. Through effective project coordination and stakeholder management, you will contribute directly to the successful delivery and impact of Etio's national education programmes.

Key Responsibilities
Your core responsibilities include but are not limited to:
- Coordinate the day-to-day delivery of projects and programme workstreams, ensuring activities are completed on time and to agreed standards.
- Support Project Managers in maintaining project plans, delivery schedules, resource trackers, risk registers, and action logs.
- Monitor project milestones, dependencies, and deadlines, proactively identifying and escalating risks or issues where appropriate.
- Coordinate project meetings, governance activities, workshops, and stakeholder engagement sessions.
- Prepare agendas, meeting papers, reports, presentations, status updates, and documentation to support effective project delivery.
- Track project actions and decisions, ensuring follow-up activities are completed and documented.
- Maintain accurate project records, documentation, and programme management information in line with organisational standards.
- Coordinate logistics and administration for online and in-person events, meetings, and project activities.
- Support financial administration activities, including purchase orders, invoice processing, and expenditure tracking.
- Work closely with stakeholders, delivery partners, and internal teams to ensure effective communication and coordination across projects.
- Support data collection, reporting activities, and performance monitoring processes.
- Assist with project onboarding, stakeholder management, and resource coordination where required.
- Contribute to the development and continuous improvement of project management processes, templates, and ways of working.
- Provide flexible support across projects and programmes to meet changing business and delivery needs.

Role Deliverables
- Projects and workstreams are effectively coordinated and delivered against agreed timelines and objectives.
- Project plans, action logs, risk registers, and delivery documentation are maintained accurately and proactively.
- Stakeholders receive timely communications, updates, and support throughout project lifecycles.
- Meetings, workshops, and programme events are coordinated effectively and professionally.
- Financial processes are followed, supporting accurate budget monitoring and expenditure tracking.
- Reporting information, programme data, and performance metrics are maintained accurately and shared on time.
- Risks, issues, and dependencies are identified early and escalated appropriately.
- Project governance processes are supported effectively, contributing to successful programme delivery.
- Continuous improvement opportunities are identified and implemented where appropriate.
Essential Skills, Experience, and Qualifications
- Experience in project coordination, programme support, project administration, operations, or a related role.
- Strong organisational and planning skills with excellent attention to detail.
- Experience coordinating multiple activities, priorities, and stakeholders simultaneously.
- Experience supporting project delivery, governance, reporting, or programme management activities.
- Strong communication skills, both written and verbal.
- Ability to build effective relationships with internal and external stakeholders.
- Confidence using Microsoft 365 applications, particularly Excel, Word, PowerPoint, Outlook, and Teams.
- Experience maintaining project plans, trackers, documentation, and management information.
- Ability to work independently while managing workload effectively.
- A proactive, collaborative, and solution-focused approach.

Desirable
- Project management qualification or training (e.g. PRINCE2 Foundation, APM, Agile, PMQ, or equivalent).
- Experience using project management tools such as MS Project, Monday.com, Planner, Jira, Smartsheet, or similar.
- Familiarity with CRM systems, databases, and reporting tools.
- Experience coordinating online and in-person stakeholder events.
- Familiarity with the UK education sector.
- Experience supporting senior stakeholders, programme boards, or governance groups.
- Experience working within national programmes, public sector projects, or complex stakeholder environments.
