Your new company
You will join a collaborative project and programme environment where effective governance, accurate information and strong PMO standards are central to successful delivery. Working alongside project managers and senior stakeholders, you will help maintain the processes, plans and reporting that keep multiple workstreams moving in the right direction.
Your new role
As Project Co-ordinator, you will provide hands-on operational support across the PMO. You will maintain accurate project information, keep governance activities running to schedule and take ownership of the administration that enables project managers to focus on delivery.
Your key responsibilities will include:
- Maintaining project and programme registers, including statuses, RAG ratings and key dates
- Coordinating weekly and monthly reporting and following up on late or incomplete submissions
- Producing governance packs, consolidated dashboards and senior-level reporting
- Taking minutes, recording actions and tracking them through to completion
- Supporting stage-gate and approval processes, including paperwork, sign-offs and audit trails
- Maintaining programme risk, issue, assumption and dependency logs
- Following up with owners on updates, mitigations and ageing actions
- Identifying cross-project dependencies, clashes and gaps between partner plans
- Maintaining project plans and milestone trackers using Microsoft Project and Jira
- Monitoring milestone slippage, baseline changes and portfolio-level milestones
- Supporting project replanning activities
- Maintaining resource allocation trackers and supporting resource planning
- Coordinating onboarding and offboarding for team members, contractors and suppliers
- Supporting timesheet completion where required
- Improving Jira governance by ensuring work is correctly ticketed and aligned with project plans
- Producing delivery, coverage, orphan, work-in-progress and flow reporting
- Carrying out ticket hygiene checks across epics, stories, tasks and required fields
- Managing document control, templates, versioning, folder structures and access through SharePoint
- Conducting periodic data-quality audits and supporting compliance with PMO standards
- Coordinating lessons-learned sessions and identifying opportunities to improve or automate PMO processes

What you'll need to succeed
You will have previous experience in a Project Co-ordinator, Project Support Officer, PMO Analyst, PMO Support or Business Support position, with the ability to manage multiple work streams and competing deadlines.
You will also bring:
- Strong organisational skills and excellent attention to detail
- The ability to identify inconsistencies and quality issues within project data
- Clear, professional written communication suitable for senior stakeholders
- A polite but persistent approach to obtaining updates and completed actions
- Hands-on working knowledge of Microsoft Project, Microsoft 365 and Jira
- Practical experience navigating Jira epics, stories, subtasks, filters, boards and backlogs
- Confidence working with incomplete information and changing priorities

Qualifications such as APM PFQ, APM PMQ, PRINCE2 Foundation or CAPM would be advantageous. Experience with JQL, Jira dashboards, agile delivery metrics, dashboard reporting, data reconciliation or a higher education environment would also be beneficial.
