GENERAL SUMMARY
The Project Coordinator – Inspection is responsible for coordinating all project-related quality inspection activities to ensure compliance with contractual and project requirements. The role acts as the central point of contact between customers, suppliers, third-party inspectors, operations, quality, engineering, and project management teams to ensure inspections are planned, notified, executed, and closed out on time.
A key responsibility is ensuring the timely issuance of Notifications of Inspection (NOIs), management of inspection schedules, and coordination of all stakeholder activities required to support successful project delivery. This role is based on existing project coordination and procurement quality coordination responsibilities within current project and quality management processes.
PRINCIPAL DUTIES AND RESPONSIBILITIES (ESSENTIAL FUNCTIONS)
Inspection Coordination
- Plan and coordinate all project quality inspections.
- Issue Notifications of Inspection (NOIs) in line with contractual requirements and agreed notice periods.
- Maintain a forward inspection schedule covering supplier, customer, third-party and internal inspections.
- Coordinate witness points, hold points, factory acceptance tests (FATs), and final release inspections.
- Ensure inspection activities are completed in accordance with project schedules and quality requirements.
Stakeholder Management

Act as the primary coordination point between:
- Customers
- Suppliers
- Third-Party Inspectors
- Operations
- Quality
- Project Managers

Facilitate effective communication to ensure inspection readiness and timely resolution of issues.

Escalate risks and potential delays that could impact manufacturing, testing, shipment, or project milestones.
Documentation & Quality Records
- Ensure all required inspection documentation is available and approved prior to inspections.
- Develop and maintain inspection registers, trackers, schedules, and status reports.
- Coordinate the collection and filing of inspection reports, release notes, certificates, non-conformance reports, punch lists, and quality records.

Project Support & Reporting
- Provide regular inspection status updates to Project Managers and key stakeholders.
- Track inspection performance against project schedules and milestones.
- Generate weekly and monthly reports on inspection activities and quality progress.
- Support recovery planning where inspection issues threaten project delivery dates.
Supplier & Customer Interface
- Coordinate inspection activities with suppliers and subcontractors.
- Support customer and end-user witness inspections.
- Ensure all inspection findings and actions are communicated and closed out in a timely manner.
- Drive inspection readiness across both internal and external stakeholders.
KNOWLEDGE / SKILLS REQUIRED
- Excellent organisational and planning skills.
- Strong communication and stakeholder management capability.
- Ability to manage multiple priorities and deadlines.
- Detail-oriented with a strong focus on quality and accuracy.
- Proactive problem-solving and escalation management.
- Customer-focused with a delivery-driven mindset.
- Ability to work effectively across cross-functional teams.
EDUCATION, SKILLS AND EXPERIENCE
- Experience in project coordination, quality coordination, manufacturing, or operations support.
- Experience coordinating multiple stakeholders within a project environment.
- Strong administrative and reporting skills.
- Proficient in Microsoft Office applications, particularly Excel.

The successful candidate will ensure:
- All NOIs are issued within contractual timescales.
- Inspection activities are effectively coordinated and executed.
- Stakeholders are informed, aligned, and prepared for inspection events.
- Quality documentation is complete and available when required.
- Inspection-related project delays are minimised.
- Accurate reporting is provided to Project Managers and business stakeholders.
