Rainford Berry are recruiting for a Project Coordinator on behalf of a leading UK interior fit out, manufacturing and logistics business with turnover of £150m and an enviable blue-chip client base across the retail, banking, commercial and leisure sectors. This is a hybrid role with some days in the central London office.
Role Overview
The Project Co-Ordinator plays a key role in supporting Project Managers and Senior Project Managers in the successful delivery of commercial fit-out projects within a regulated banking environment.
This role focuses on project control, coordination, documentation, and governance, ensuring that all project information is accurate, up-to-date, and compliant.
The Project Co-Ordinator acts as the central point of control for project information, helping to drive consistency, reduce risk, and improve efficiency across all stages of delivery.
The position is critical in supporting high-volume, fast-paced projects in live and secure banking environments, ensuring that PMs can focus on commercial, client, and leadership responsibilities.

Roles and responsibilities

Project Coordination & Control
- Use Smartsheet to coordinate multiple project workstreams.
- Track milestones, actions, and deliverables.
- Maintain trackers, logs, registers, and project information.

Document Management & Governance
- Manage project documents, drawings, controls, and version tracking.
- Ensure approvals, permits, packs, and audit records are complete.

Reporting & Communication
- Prepare weekly and monthly project reports.
- Collate updates from site teams, subcontractors, and PMs.
- Coordinate meetings, minutes, actions, and communications.

Commercial & Procurement Support
- Support variation logs, change tracking, and commercial records.
- Liaise with subcontractors and suppliers for quotes and updates.

Quality & Compliance Support
- Maintain QA checks, sign-offs, snagging, and records.
- Keep compliance records complete, organised, and audit-ready.

Health, Safety & Risk Support
- Maintain H&S, RAMS, inductions, permits, and compliance records.
- Log risks, incidents, and near misses.

Programme, Access & Logistics Coordination
- Coordinate access, clearances, permits, and works planning.
- Support out-of-hours, phased, and secure-site works.

Stakeholder & Team Support
- Be the central contact for project information and queries.
- Support collaboration across PMs, site teams, subcontractors, and clients.

Project Close-Out and Aftercare
- Compile handover packs, O&Ms, as-builts, and project records.
- Track actions and defects through handover and aftercare.
