Project Coordinator – Opportunities Within a Leading Naval Defence Company

Role Overview

MacTaggart Scott are seeking a proactive and reliable Project Coordinator. This role offers the opportunity to build skills and grow within the company, supporting our team of Project Managers with the management of major projects through coordination, collaboration, expediting, controlling, and administrative support to teams, projects, and the broader business.

Initially, moderate supervision will be provided, allowing for gradual mentoring. As experience is gained, the Project Coordinator will work with reduced oversight and take on greater autonomy.


How Success Will Be Measured

Performance will be based on the company’s project performance metrics, including:

  • On-time delivery
  • Adherence to budget
  • Success of assigned projects
  • Meeting agreed project objectives

Key measurable areas include:

  • Support to Project Managers
  • Adherence to Project processes and all QC forms compliance
  • Maintenance and accuracy of agreed schedules
  • Meeting contractual requirements
  • Quality of administrative tasks (frequency and accuracy)
  • Understanding of company-wide processes
  • Effective stakeholder engagement

Key Responsibilities

In supporting the Project Team, the Project Coordinator will:

  • Liaise with various departments to identify and resolve issues related to ongoing projects.
  • Engage with customers from project inception through to delivery.
  • Investigate cost anomalies and resolve schedule conflicts.
  • Ensure contract-required project schedules are accurately maintained within the company ERP system.
  • Attend internal and customer project reviews, preparing sign-off minutes and action items.
  • Update PM QC documentation.
  • Coordinate logistics including customer meetings, bookings, and scheduling.
  • Draft and circulate project documentation and emails for both internal and external stakeholders.
  • Lead and manage internal meetings.
  • Provide strong administrative support to the Project Manager.
  • Collate and manage risks identified within projects.
  • Compile data for monthly contract reviews.

The role demands a high capacity for efficient task prioritisation, requiring the ideal candidate to possess strong organisation, coordination, and administrative skills, coupled with exceptional interpersonal abilities.


Requirements

Essential

  • Experience in using MS Office applications, including Microsoft Project and Excel.
  • Set to learn and grow as part of a career development-focused role within engineering.
  • Holding, or the prospective ability to obtain, the required Security Clearance for operations.

  • Suitable qualification or related experiences from disciplines such as:
    • Engineering
    • Project administration
    • Manufacturing

Desirable

  • Exposure to ERP systems.
  • Demonstrable Projects experience in a related sector.
  • Experience in Defence, Engineering, or Manufacturing.
  • Formal qualifications such as City & Guilds, ScotVec, or an equivalent degree.
  • APM accreditation (Associate Project Manager Fundamentals certification).
