The Opportunity
Hill McGlynn are currently working with an established construction contractor who are looking to appoint an experienced Project Coordinator / Document Controller to join their team, based from their offices in Potters Bar, Hertfordshire.
This is a key project-support position, providing document control and coordination across live construction projects while working closely with design, commercial, operational and site teams.
The successful candidate must have previous experience using Viewpoint 4Projects, including Administrator User functionality, and be confident managing project information, workflows and documentation through the system.
Previous experience working within a main contracting environment would be highly advantageous.
The Role
As Project Coordinator / Document Controller, you will be responsible for ensuring project information is accurately controlled, distributed and maintained while providing wider coordination support to project teams.
Key Responsibilities Will Include
- Managing project documentation and information through Viewpoint 4Projects.
- Utilising Administrator User functionality to manage users, permissions, workflows and project information.
- Setting up and maintaining project structures within the document management system.
- Uploading, issuing and distributing drawings, specifications, reports and technical documentation.
- Maintaining accurate document registers, revision histories and audit trails.
- Ensuring project teams have access to the latest approved information.
- Managing document workflows, reviews, approvals and outstanding actions.
- Coordinating information between internal teams, clients, consultants and subcontractors.
- Supporting Project Managers, Design Managers and site teams with information and documentation requirements.
- Monitoring outstanding information and following up with relevant stakeholders.
- Managing incoming and outgoing project correspondence.
- Supporting project meetings and maintaining relevant project records.
- Assisting with the collation and management of handover documentation, O&M manuals and project close-out information.
- Ensuring company document-control procedures and project protocols are consistently followed.
- Providing wider project coordination and administrative support where required.

About You
We are looking for an experienced, highly organised Project Coordinator / Document Controller who is confident managing construction information and supporting busy project teams.
You Will Ideally Have
- Previous experience using Viewpoint 4Projects - essential.
- Experience with Viewpoint 4Projects Administrator User Functionality - Essential.
- Previous experience working as a Document Controller, Project Coordinator or similar within the construction industry.
- Experience within a main contractor environment would be highly advantageous.
- Strong knowledge of construction documentation, drawings and technical information.
- Experience managing document workflows, revisions, approvals and distribution.
- Excellent attention to detail and accuracy.
- Strong organisational and time-management skills.
- The confidence to liaise with project teams, consultants, clients and subcontractors.
- Good general IT skills, including Microsoft Office.
- The ability to manage multiple priorities and work to project deadlines.
- A proactive, methodical and professional approach.
