Position Summary

We are seeking a highly organised and detail-oriented Deployment Project Coordinator to join our team supporting one of our global clients. This role plays a critical part in coordinating and managing deployment projects while ensuring seamless communication and collaboration among stakeholders.

The successful candidate will possess strong organisational, technical, and communication skills, along with experience using project management and planning tools to support successful project delivery.

Key Responsibilities

Project Coordination & Documentation

  • Set up and maintain organisational folders and ensure proper storage of all project-related documentation, including photos, technical documents, and training materials.
  • Manage and organise project data using tools such as Google Sheets, Microsoft Office, and planning software including ServiceNow or Odoo.
  • Regularly update and maintain project documentation to ensure accuracy and completeness.

Technical Training & Support

  • Coordinate and schedule training sessions for deployment technicians, ensuring they are fully prepared for site activities.
  • Provide ongoing support to technicians and ensure they have access to the necessary resources and tools.

Stakeholder Communication

  • Provide regular updates to stakeholders on project status, milestones, risks, and challenges through reports and meetings.
  • Act as the primary point of contact for site access approvals and time management updates.

Time & Site Access Management

  • Oversee site access processes, including scheduling and compliance with access requirements.
  • Monitor and maintain project timelines, proactively identifying and addressing potential delays.

Risk Mitigation & Issue Resolution

  • Identify potential project risks and develop mitigation strategies to support successful outcomes.
  • Resolve issues that arise during deployment activities and escalate critical concerns when required.

Invoice Management & Budget Oversight

  • Track and manage deployment invoicing, ensuring accuracy and timely processing.
  • Collaborate with finance teams to maintain budgetary control and transparency.

Planning & Ticket Management

  • Plan and schedule project activities to ensure efficient resource allocation and timely completion.
  • Manage Jira tickets to monitor project progress, identify bottlenecks, and support resolution activities.

Qualifications & Experience

  • Proven experience in project coordination, preferably within deployment, technology, or IT-related projects.
  • Proficiency with Google Sheets, Microsoft Office Suite, Jira, and planning platforms such as ServiceNow or Odoo.
  • Strong organisational skills with the ability to manage multiple priorities simultaneously.
  • Excellent communication and interpersonal skills with the ability to collaborate effectively with stakeholders, technicians, and cross-functional teams.

Preferred

  • Previous experience working within the Google ecosystem or similar environments.
  • Familiarity with site access management and compliance processes.
  • Strong problem-solving skills and the ability to adapt to changing project requirements.

Working Location

This role is fully site-based at EOS Headquarters in Banbridge.
