Job Title: Project Coordinator – Government Accounts
Location: London and Brackley – Hybrid (plus travel as required)

Job Overview
We are seeking a Project Coordinator to support Strata’s government-focused accounts. This is a junior supporting role within the project delivery team, working closely with the Project Director, Senior Project Manager, Project Managers, Account Director and wider HOD teams.
The successful candidate will have the opportunity to support projects from inception, helping to set up account ways of working, client onboarding materials, project folders, meeting rhythms, documentation and reporting processes.
The role is ideal for someone highly organised, detail-focused and keen to develop their career in high-profile event delivery across government summits, international exhibitions and virtual or hybrid events.
Key Responsibilities
Project Administration & Coordination
- Support the project team with accurate project administration from brief through to delivery, reconciliation and closure.
- Maintain project folders, SharePoint structures, templates, contact sheets, onsite schedules, meeting records, action trackers and project documentation.
- Help prepare internal kick-off decks, client kick-off materials, project handbooks, briefing packs and post-event debrief documents.
- Support project timelines by tracking key dates, approvals, actions and dependencies, flagging risks or delays to the Senior Project Manager.
Meeting & Communication Support
- Organise internal and external meetings, ensuring the right people are invited and agendas are shared in advance.
- Minute meetings accurately, capture actions and circulate clear contact reports to relevant parties within agreed timeframes.
- Support client communications where appropriate, ensuring information is accurate, professional and aligned to agreed ways of working.
- Help maintain open communication across internal teams, suppliers and client stakeholders.

Compliance, Risk & Quality Support
- Help ensure project documentation is complete, version-controlled and saved in the correct folders.
- Assist with post-event reporting, lessons learned, feedback collation and project closure, including data processing and archiving requirements.
Supplier, Logistics & Onsite Support
- Assist with supplier research, quote gathering, RFP administration, supplier meeting coordination and PO tracking.
- Support logistics including crew, travel, accommodation, catering, kit, print, giveaways, venue liaison and onsite preparation.
- Attend site visits and live events where required, supporting onsite setup, team support and general assistance onsite.
- Help ensure all supplier and project information is captured accurately and shared with the project team.
Budget & Reconciliation Support
- Support Procim administration, timesheets, purchase orders, supplier invoices, budget trackers and post-event reconciliation.
- Help gather final supplier actuals, expenses, project information and reporting inputs after each event.
- Support the creation of case study materials and final project reports where required.
Job Requirements
The successful candidate must be able to demonstrate the following experience and attributes:
- Experience in an event, agency, project coordination or administrative delivery role, ideally within live, hybrid or virtual events.
- An interest in government, public sector or high-profile stakeholder events.
- Excellent organisational skills, strong attention to detail and the ability to manage multiple actions, documents and deadlines.
- Strong written and verbal communication skills, including the ability to produce accurate meeting notes, contact reports and project updates.
- A proactive, calm and collaborative approach, with confidence working across internal teams, suppliers, venues and client stakeholders.
- Commercial awareness, including an understanding of supplier quotes, mark-up, margin, timesheets and reconciliation.
- Self-motivated, eager to learn and resilient under pressure.
- An ability and willingness to travel in the UK and internationally as required.
