Role: Project Coordinator I - Facilities

Location: CME Group Belfast office

Working Pattern: Monday - Friday - 5 days on-site

Summary:

Support the Facilities Manager and wider International Facilities Management Team with general office requests, administration, moves and changes, DSE assessments, upkeep of move management and desk reservation software, planned maintenance, overseeing and escorting contractors, vendors, and ad hoc tasks.

Responsibilities:

  • Assist with all aspects of moves and changes, including small construction projects, furniture procurement, allocation of storage, filing, and keys.
  • Ownership of desk reservation and move management software, ensuring neighbourhoods, seating plans, and CADM reports are always current.
  • Assist with internal events, including furniture changes, catering, set up, and down, etc.
  • Assistance with collating planned maintenance documentation and ensuring compliance with regulations.
  • Overseeing contractors and vendors as and when required.
  • Liaising with Landlord service providers, including escalation of critical items, ensuring the highest standards of services are provided.
  • Raising facilities-related requisitions and purchase orders.
  • First response and management of first aid incidents.
  • Assistance with health and safety documentation, including the production and upkeep of building information packs.
  • First response to helpdesk requests and emails, actioning as required in a timely manner.
  • Fulfil any additional ad hoc duties as and when required to meet the needs of the business.
  • Assistance with the production of both monthly and quarterly premises reports for senior management.

Essential Skills:

  • Strong PC skills – Must be highly proficient in Microsoft and Google applications.
  • Excellent communication and presentation skills.
  • Ability to take ownership of move management and desk reservation software.

Desirable Skills and Experience:

  • Previous experience working for a corporate organisation.
  • Previous experience in a facilities or similar role would be beneficial although not essential.
  • Previous experience managing internal moves and changes and small project works.
  • Previous working experience with move management software and other facilities systems.
  • IOSH and/or NEBOSH health and safety certification.
  • First Aid certification.
