Project Coordinator
📍 St Ives, Cambridgeshire | Hybrid Working
At Arena Group, we're looking for an organised, proactive, and detail-driven Project Coordinator to join our Projects team and help deliver outstanding project outcomes for our clients.

The Role
Reporting to the Head of Projects, you'll work closely with Project Managers and Project Planners to coordinate the delivery of multiple projects, ensuring that all client requirements are met on time and within budget.
You'll collaborate with teams across Operations, Sales, Technical, Procurement, Finance, Site Teams, and external suppliers, playing a vital role in keeping projects organised, compliant, and on track.
Key Responsibilities
- Coordinate project schedules, resources, equipment, and timelines.
- Maintain accurate project documentation and records.
- Act as a key point of contact for clients and stakeholders.
- Gather project information and support tender submissions.
- Monitor project budgets and assist with invoicing activities.
- Manage accreditation requirements and site access arrangements.
- Ensure RAMS documentation is maintained and accessible.
- Support reporting, forecasting, and business performance analysis.
- Maintain supplier databases and cost-tracking information.

About You
We're looking for someone who is:
- Highly organised with exceptional attention to detail
- Able to manage multiple priorities and deadlines
- A confident communicator with strong relationship-building skills
- Proactive, adaptable, and solutions-focused
- Customer-focused with a professional approach
- Comfortable working with internal teams, suppliers, and clients alike
Skills & Experience
- Previous experience as a Project Coordinator or in a similar project support role.
- Strong administrative and organisational skills.
- Experience using Smartsheet or similar project management software.

Additional Information
This role is based in St Ives with hybrid working available. Occasional travel within the UK and potentially Europe may be required, including overnight stays. A full UK driving licence and valid passport are therefore essential.
