About the Role

We're looking for a highly organised, proactive Project & Deployment Coordinator to keep our smaller deployment jobs, one-off installations and GRMS (Guest Room Management System) coordination running smoothly.

This is a coordination role, not a technical or senior client-facing one — you won't be making technical calls or owning client relationships. Instead, you'll be the person who makes sure every small job is properly prepared: engineers have what they need before they get to site, hotels know what's happening and when, documentation stays up to date, and finished work is handed over cleanly to support and finance. If you love creating order out of moving parts and closing loops before they become problems, this role is built for you.

What You'll Be Doing

Coordinating Small & One-Off Jobs

  • Coordinate agreed one-off deployment jobs and smaller installation projects end to end
  • Confirm job requirements, dates, contacts and site details before work starts, and chase down anything missing
  • Track actions, follow up outstanding information, and flag jobs that aren't ready to proceed
  • Provide light-touch operational support to GRMS coordination where needed, keeping documents, actions and hotel-level details on track

Engineer & Site Support

  • Be the go-to contact for engineers on job details, preparing and distributing job sheets
  • Confirm site access, timings, hotel contacts and travel/accommodation where this is part of the job
  • Make sure engineers have everything they need before attending site, and follow up afterwards for reports, photos and sign-off

Hotel & Site Liaison

  • Liaise directly with hotels on practical deployment arrangements — room access, site contacts, check-in requirements
  • Keep everyone in the loop on changes or delays, and make sure hotels know where to direct queries once work is done

Documentation, Systems & Handover

  • Keep job status, site information and action trackers accurate and current in Teams, Planner, Excel, SAP Business ByDesign or other agreed systems
  • Make sure completed jobs are handed over cleanly to Support/Ticketing, with clear notes on what's delivered, what's outstanding, and who to contact
  • Gather the information Finance needs to invoice completed work promptly, flagging anything missing

Spotting and Escalating Issues

  • Keep an eye out for jobs that are stuck, unclear or at risk, and escalate to the right person — technical, commercial or logistical
  • Suggest simple checklists, templates or process tweaks that make smaller jobs easier to track and close
  • Make confident, appropriate use of company-approved AI tools to speed up documentation, summaries and follow-up — while keeping a human eye on accuracy and confidentiality

Who You'll Work With

You'll be a connector across the business — working closely with our GRMS and deployment stakeholders, technical leads, field/deployment teams, logistics and warehouse colleagues, Finance, and our Support/Ticketing team, making sure information flows cleanly between them all.

This role focuses on coordination rather than technical design, commercial decision-making or client ownership — those stay with our technical authorities, project leads and senior stakeholders. You'll be the person who keeps everything moving and visible in between.

What We're Looking For

Essential

  • Experience in coordination, project support, operations support or field service coordination
  • Excellent organisation and follow-up skills — comfortable juggling several small jobs at different stages at once
  • Confident communicator with engineers, hotels, clients and internal teams
  • Sharp attention to detail and a habit of keeping records accurate and current
  • Comfortable with Microsoft Teams, Outlook, Excel and task-tracking tools, plus SAP Business ByDesign or a similar ERP system
  • Happy using AI tools to work smarter, paired with good judgement about accuracy and confidentiality
  • Confidence to escalate issues and stay calm when plans change
  • Able to work full-time from our Bracknell office

Desirable

  • Background in technology, telecoms, AV, hospitality, construction, facilities, field service or installation
  • Experience coordinating engineers or field teams, or arranging travel and accommodation
  • Familiarity with Microsoft Planner, MS Project or similar systems
  • Experience using AI tools for reporting, meeting summaries, checklists or operational follow-up
  • Understanding of deployment, support handover or invoicing processes

  • Handovers into support are clean, and invoice-ready information reaches Finance on time
  • Blockers get escalated early, and hotels and clients experience clear, timely communication
