The Role
This is a pivotal opportunity to shape the successful delivery of some of London Marathon Events' most high-profile events. Working at the heart of a fast-paced, collaborative environment, the Project Manager will bring structure, momentum and clarity to complex event programmes, enabling cross-functional teams to deliver exceptional experiences on time and to a consistently high standard.
The Project Manager will play a key role in driving the successful planning and delivery of assigned events, bringing structure, clarity and pace to the process. They will work collaboratively across the organisation to align teams, maintain momentum and ensure delivery remains on track against key milestones. Through strong interpersonal and communication skills, they will build credibility with a diverse range of stakeholders, fostering collaboration, securing engagement and influencing outcomes to support successful event delivery.

Working closely with Event Leads, fellow Project Managers and teams across the business, this role will facilitate effective planning and decision-making, provide clear progress reporting and ensure that workstreams remain aligned, controlled and moving forward. The role also supports continuous improvement by embedding consistent ways of working, capturing learning and using technology, automation and AI to improve efficiency and delivery quality.
Key Responsibilities
- Project Management of multiple Events per year including delivery of event admin
- Accountable for Monday.com project plans, event milestones and deliverables
- Accountable for setting the agenda for Event Planning meetings as per annual planning cycle - take actions, minutes and update Monday.com board appropriately
- Work with the rest of the Project Management Team to ensure a seamless and consistent project management approach across all events
- Manage and track Event planning team actions and deadlines
- Manage Event Delivery meetings & keep projects moving forwards across full calendar cycle
- Accountable for identifying and escalating risks and issues for the project to the Event Lead /Senior Program Manager
- Report project progress and any potential changes in project scope to the Senior Program Manager
- Ensure maximum co-ordination of resources throughout the organisation
- Facilitate effective cross functional interdepartmental planning and stakeholder management
- Provide support at key internal and external stakeholder meetings
- Facilitate event kick off, continuous improvement, benchmarking and data analysis
- Facilitate and document Project Management Debrief Process and delivering of reports
- General Administrative Duties
- Collation of the Event Management Plans to be shared at the Safety Advisory Group Meetings
- Co-ordinate internal and external stakeholder meetings, agendas, minutes, document distribution (LOSPG, LSAG, DPG, MSO)
- Create debrief slides and other project presentations and documentation
- Race licences & Applications
- Managing accreditation distribution
- Overseeing the Event Experience General In-Box and the PMO inbox
- Raising PO’s
- General Event Experience Department Administrative Support

Success Measures / KPIs
- Success in this role will be measured by the smooth running of the planning of the events assigned to the individual. This is an opportunity to create steady guard rails for the teams to plan in. Recognition will be given for bringing innovation, systems and processes to the event planning for London Marathon Events.
- Creating parity of systems is important and success will be seen in delivering consistency in project process across all events.
Required Skills
Technical
- Experience in implementing and maximising use of Program Management tools (such as Monday.com)
- Experience in using Microsoft Teams to manage teams and their ways of working
- Skilled and experience in project management and working within a project management framework
- Working with technology and AI to improve work streams and process efficiency
- Excellent Microsoft Office 365 proficiency Teams, Excel, Word, PowerPoint

Required Experience
Essential
- Strong organisation, scheduling, and time management skills
- Ability to work under pressure in the lead up to events
- Excellent interpersonal skills with the ability to effectively communicate, engage and earn the respect across a diverse team
- Excellent administrative skills and strong attention to detail
Desired
- Knowledge and direct experience within the events industry
- Excellent planning and resource management skills
- Able to manage across dependencies of other company Events / projects
- Experience in event planning and delivery, with an understanding of how to coordinate multiple stakeholders, manage dependencies and timelines, and maintain momentum to ensure successful outcomes in a fast-paced environment.
- Excellent verbal and written communication skills
- Previously worked in a fast-paced environment
