Role Overview

The role of Project Manager will encompass working on projects and real estate transactions as well as some administrative tasks related to the real estate portfolio for both Sony Pictures Entertainment (SPE) and Sony Music Entertainment (SME) Group.

The position involves co-managing all aspects of real estate and projects from inception to completion, including dealing with clients, obtaining approvals, negotiating with landlords, contractors, and internal departments, as well as preparing property cost comparisons and creating and managing project budgets. This role will work alongside other members of the team on various tasks such as the Strategic Property Review report, the review and translation of all leases, and overall responsibility for lease administration updates for the real estate portfolio for SPE and SME group.

Key Responsibilities

Real Estate Transactions

  • Manage the acquisition and disposal of properties across the portfolio, working closely with Sony business stakeholders and local real estate brokers.
  • Negotiate commercial terms with landlords and support the review and negotiation of lease agreements.
  • Prepare property cost comparisons, financial analyses and approval documentation to support real estate decisions.
  • Conduct real estate market research to inform transactions and portfolio strategy.
  • Partner with Procurement to manage Requests for Proposal (RFPs) and appoint external real estate consultants where required.
  • Liaise with Sony Corporation of America (SCA) Risk Management on the review of lease insurance provisions.

Capital Projects & Project Management

  • Provide project management support for real estate and capital projects, coordinating consultants, contractors, surveyors and other vendors.
  • Develop and manage capital project budgets, including the review of construction costs and dilapidations estimates.
  • Prepare business cases and approval documentation for capital expenditure projects.
  • Collaborate with internal teams including Procurement, IT, Security, Risk Management, Human Resources and other corporate functions to ensure successful project delivery.

Lease Administration

  • Manage lease administration activities and oversee the accuracy and maintenance of information within the CoStar lease administration system.
  • Prepare lease abstractions for new agreements, archive expired leases and maintain accurate property and lease data.
  • Perform regular quality assurance and auditing checks to ensure data integrity.
  • Produce monthly CoStar reports and other portfolio reporting as required.
  • Create purchase orders and review invoices relating to CoStar and associated services.

Real Estate Portfolio Management

  • Support the Facilities Director in managing the real estate portfolios for Sony Pictures Entertainment across EMEA and Asia Pacific, and Sony Music Entertainment Group across EMEA.
  • Monitor key lease events, including expirations, break options, market rent reviews and associated notice dates.
  • Proactively communicate upcoming critical dates to ensure real estate discussions and decision-making commence within appropriate timeframes.
  • Track portfolio activity and transaction progress, identifying upcoming requirements and priorities.
  • Participate in monthly portfolio meetings and provide progress updates to senior management in Los Angeles and New York.

Reporting & Real Estate Administration

  • Provide administrative and reporting support across real estate transactions, projects and portfolio management activities.
  • Prepare intercompany space agreements between Sony Group companies.
  • Coordinate document translations where required.
  • Produce ad hoc real estate, portfolio and project progress reports.
  • Complete Valuation Office Agency (VOA) surveys and prepare information and reports for insurance purposes.
  • Undertake other real estate-related administrative activities as required

Qualifications

  • Ideally 5+ years of experience in real estate transactions for international companies and clients. Comfortable working with different time zones, currencies, cultures and languages.
  • Fluent in English; other languages a plus but not necessary
  • International administration experience is critical.
  • Strong ability to read, interpret and understand legal and contractual documents, particularly lease-related documentation.
  • Excellent organisational skills, with the ability to manage multiple priorities and deadlines effectively.
  • Strong critical thinking and problem-solving skills, with a practical and solutions-focused approach.
  • Excellent written and verbal communication skills, with the ability to communicate effectively with stakeholders at all levels.
  • Strong interpersonal and customer service skills, with a professional and responsive approach to supporting internal clients.
  • Demonstrated ability to work collaboratively across teams, functions and geographies.
  • Experience working effectively with internal business stakeholders and external consultants, vendors and professional advisers.
  • Ability to adapt to a fast-paced and dynamic environment, managing multiple demands, changing priorities and evolving business requirements.
  • Strong focus on delivery and accountability, with the ability to complete high-quality work within challenging or time-sensitive deadlines.
  • Ability to follow established processes and standard operating procedures, maintaining clear and accurate documentation of activities, progress and outcomes.
  • High level of discretion and professionalism when handling confidential or commercially sensitive information.
  • Strong cultural awareness, with the ability to work effectively and respectfully across different countries, cultures and business environments.
  • A flexible and adaptable approach to workload and time management to meet changing business needs.
