Job Description
This role delivers end-to-end administrative and operational support for Moves, Adds, and Changes (MAC) and Space Management clients. The primary focus is ensuring workplace modifications, furniture orders, and helpdesk requests are executed safely, on time, and efficiently for the client.
Key Job Responsibilities
- Handle the full lifecycle of furniture orders - ordering, tracking shipments, and coordinating final delivery and setup.
- Direct contact point for furniture suppliers, coordinating order fulfillments, delivery schedules, and site access.
- Booking in delivery personnel and installation crews with building management and security in compliance with site protocols.
- Maintaining accurate furniture stock lists and conducting routine store Audits to track active inventory, surplus, and asset conditions.
- Receive and process Space Management requests promptly, liaising with the requestor to verify specific details, confirm timelines, and manage expectations.
- Log agreed Space Management requests with the helpdesk, providing full detail, plans, and photos for direction.
- Provide general administrative assistance to the broader Space Management team to keep daily workplace operations running smoothly.
- Provide accurate and timely reporting of all activity and key client matrices as directed.
- Act as the client interface for all move and change activity, interfacing with authority and diplomacy throughout the client business.
- Effectively manage small moves to ensure accurate delivery of changes to accommodation, safely on time and on budget.
- Manage move delivery contractors as and when required.
- Ensure building and/or area readiness for all MAC projects (incoming areas).
- A basic knowledge and willingness to learn AutoCAD and other occupancy and space management/CAFM systems as required.
- Gain a knowledge of MAC Products and in particular the MAC Circular Economy Policy and FF&E Audit and Inventory.
- Complete MAC Project Toolbox and First Draft of appropriate Case Studies, utilising MAC templates within one week of project completion.
- Manage own time effectively and ensure Fee Revenue and Stretch Target is monitored.
- Ensure that all MAC Projects are managed in accordance with the MAC Playbook.
- Ensure that all MAC Projects are QHSE compliant, delivered efficiently and effectively, with a focus on safety, on behalf of MAC and the client.
- Ensure all MAC projects are secured and delivered on time and within the financial requirements and margins as specified by the business.
- Ensure that all MAC projects adhere and are managed to commercial agreements / contracts.

Key Requirements
- Experience with AutoCAD 2020 and above (Basic knowledge)
- Experience of space planning, preferably within a corporate environment (Desired but not essential)
- Experience of managing corporate moves
- Experience of managing supply chains for onsite oversight
- Ability to work both independently and as part of a team.
- Excellent Computer Skills (Microsoft Office)
- Highly effective communicator who can work with a range of stakeholders and senior managers and develop and maintain strong, effective working relationships.
- Strong customer service skills and the ability to deal with enquiries, requests, complaints/escalations in a professional and proactive manner.
- Strong accuracy and analytical skills, including manipulation of data in systems such as Excel.

General Activities
- Support leadership in identifying and specifying MAC project opportunities.
- Complete MAC projects on time and on budget and to the satisfaction of all parties.
- Identify and win MAC projects through effective relationships.
- Promote and maintain the core values of CBRE and Turner & Townsend.
- Provide support for the development of MAC Playbook, Products and Services.
- Collaborate with all stakeholders to resolve issues encountered during MAC project implementation.
- Oversee changes in project scope, issues and risks that affect the project.
- Provide overall direction for multiple small projects with different timelines.
- Seek out opportunities to generate MAC projects through innovation.
- Support the sales process through solutions development, participation in presentations and consultation meetings.
- Develop effective relationships with clients and all site staff through demonstrating our capability in project delivery for MAC.
- Build strong relationships with supply partners through which we can bring innovation to our customers.
- Support operational managers to ensure the collaborative development of the MAC projects business with effective team working and support of colleagues.
