Purpose
Responsible for the efficient day-to-day planning, coordination, and delivery of projects and retainers across Navigator’s client portfolio - in line with agreed scopes and timelines - this role collaborates closely with the Delivery Lead, Operations, Client Engagement, and practice teams.
In addition to supporting the Client Engagement Director on key US accounts during UK working hours across retained marketing scopes and standalone projects, the position involves client-facing written and spoken communication without direct ownership of the client relationship.
Navigator operates with clear accountability across three functions: Client Engagement owns the client relationship and commercial scope, project management owns the planning and execution of client work, and Operations owns the process, systems and infrastructure that support delivery.
Responsibilities
Project delivery
- Own the successful delivery of a portfolio of projects across assigned client accounts.
- Manage the day-to-day delivery of projects from initiation through to completion.
- Develop and maintain project plans, timelines and trackers.
- Coordinate internal teams to ensure project work progresses efficiently and deliverables are completed on time and budget.
- Help maintain clear visibility of all active and upcoming projects within the portfolio.
- Identify dependencies, prioritise work and ensure delivery plans remain realistic.
- Ensure recurring or retainer-based workstreams are planned and delivered as structured projects.
- Ensure all teams are clear on scope, timelines and deliverables.
- Facilitate project check-ins and maintain alignment across teams.
- Manage feedback loops and flag to the Client Engagement Director where further client clarifications are necessary.
- Monitor delivery health across the portfolio, escalating risks or delivery pressures where required.
- Engage with clients where required to support project coordination and delivery communications, typically alongside Client Engagement team members.
- Track and manage amend rounds and feedback turnaround timelines, ensuring the contracted Service level Agreement is being adhered to.

Resource coordination

- Support scheduling of practice teams and resource bookings.
- Accurately track and schedule hourly efforts for the agency’s resource planning system.
- Flag potentially upcoming capacity issues or scheduling conflicts to the Head of Operations.
Risk and issue management
- Identify potential delivery risks early.
- Work with the Client Engagement team and Head of Operations to resolve project challenges.
- Document risks and mitigation actions to ensure delivery remains on track.
Process & delivery standards
- Ensure projects follow Navigator’s delivery frameworks, tools and processes.
- Support consistent use of project management systems and documentation.
- Provide feedback to the Head of Operations on opportunities to improve delivery practices.
Accountability & success indicators
Success in this role will be demonstrated through:
