The Project Manager

The Project Manager is responsible for the planning, management and coordination of pharmaceutical projects from order receipt through to commissioning and handover, ensuring delivery of a quality product on time and within agreed budgets and margins.

The role works closely with Sales, Production, Project Engineers, Designers, Technical, Automation, Finance, Purchasing, Customers, and Subcontractors to successfully deliver projects and support continuous improvement of project management processes.

Qualifications, Experience & Knowledge

  • Relevant educational qualifications and/or experience in Engineering, Manufacturing, Management, or Project Management.
  • Basic knowledge of production/manufacturing drawings.
  • Knowledge and experience of pharmaceutical equipment/products.
  • Understanding of how to plan, execute, and monitor projects using proven project management methodologies.

Key Responsibilities

Project Delivery & Coordination

  • Participate in sales handover and project reviews in accordance with company procedures.
  • Plan projects using company project management guidelines, including project tasks, milestones, critical path analysis, and risk management.
  • Create and manage project programmes and major milestones, liaising with customers and internal stakeholders throughout the project lifecycle.
  • Attend contract kick-off meetings, including global travel where required.
  • Coordinate site surveys and provide on-site supervisory support when necessary.
  • Proactively drive projects forward and escalate risks or potential shortfalls with recovery plans as required.
  • Organise and monitor the work of project team members and subcontractors, ensuring delivery to plan and quality standards.

Documentation & Compliance

  • Ensure timely delivery of drawings, schematics, and project documentation for customer approval.
  • Ensure timely receipt and management of documentation from third-party vendors.
  • Ensure appropriate risk assessments are completed and mitigating actions implemented.
  • Maintain a safe, tidy, and organised working environment and promote health and safety standards.

Commercial & Financial Management

  • Identify and procure long lead-time items and equipment to meet project requirements.
  • Maintain or improve project margins and obtain authorisation for overspends where required.
  • Produce weekly project status and financial reports.
  • Report technical and financial inaccuracies identified within sales quotations.
  • Ensure timely invoicing in line with contractual milestones and payment schedules.
  • Provide forecasting and management information to support resource planning and future workload requirements.

Continuous Improvement

  • Assist in the development of company procedures and project management systems to improve efficiency and project delivery.
  • Support sales and operations planning activities to help forecast and manage future workload requirements.
  • Plan and prioritise work effectively to meet business objectives and project deadlines.
