About Plan It UK

Plan It UK is a residential architectural design, engineering, and project management firm working across London, Kent, Essex, and the surrounding areas. We help homeowners take extensions and loft conversions from initial idea through planning, building regulations, and into construction — and we're looking for a Project & Operations Coordinator to keep that process running smoothly from the office.


About the Role

This is a role for someone who thrives on organization. You'll be the person making sure nothing falls through the cracks across a busy pipeline of residential projects — chasing the right people at the right time, keeping our records straight, and giving our design team the space to focus on design rather than admin.


What You'll Be Doing

Project Coordination

  • Coordinating Building Control and planning applications
  • Liaising with Party Wall Surveyors, SAP Assessors, and other consultants
  • Chasing clients, consultants, and Local Authorities to keep things moving
  • Monitoring progress across live projects
  • Keeping on top of outstanding actions
  • Ensuring project information and records are always up to date

Client Interaction

  • Answering calls
  • Communicating clearly and professionally
  • Supporting our designers and project leads to keep the team organized and focused on delivering great design

Financial Administration

  • Sending and chasing invoices
  • Monitoring project cash flow
  • Reconciling in Xero
  • Keeping an eye on budgets

Daily Tasks

  • Maintaining trackers in Excel
  • Spotting problems before they become problems
  • Taking ownership of outstanding tasks
  • Looking for ways to make our administrative processes better

What We're Looking For

We care far more about how you work than what you already know about construction. The technical side — how a Building Control application works, what a Party Wall Surveyor does — we'll teach you. What we can't teach is drive.

We're looking for someone who is:

  • Highly organised and methodical
  • Self-motivated and able to work independently
  • Naturally proactive, with a strong sense of urgency
  • Reliable and disciplined
  • Comfortable managing multiple projects and competing priorities
  • Confident communicating with clients and professional consultants
  • Commercially aware and comfortable working with numbers
  • Excellent with Excel
  • A strong team player who actively looks for ways to support others
  • Customer-focused, with a professional telephone manner

Experience in construction, architecture, property, or project coordination would be an advantage, but it's not essential — we're hiring for the person, not the CV.
