Pixel Systems is adding a Project Planning Assistant

Pixel Systems is adding a Project Planning Assistant to support our work with a major British infrastructure client. We are helping them move away from fragmented tracking methods toward a unified system that manages their physical assets and maintenance schedules. In this role, you will help our engineering team stay organized as we build the internal tools and database structures required for such a large project. This is a full-time, remote position for someone who enjoys organizing information and keeping projects on schedule.

About Pixel Systems

We are a small, remote software agency that builds the tools teams actually use. We do not focus on consumer apps or marketing sites. Instead, we work on the practical stuff: admin panels, CRM integrations, and database migrations. Our clients come to us when they need to replace a sprawling spreadsheet with a real database or get their different software tools to finally talk to one another.

We believe that working code is better than a perfect plan that never ships. Our approach is straightforward. We provide fixed quotes before we start, we do weekly demos, and we hand over everything, including the code and the documentation, when we are finished. We use reliable, well-tested technologies like Node, React, and Postgres because we want the software we build to be stable and easy to maintain. We are a team of developers and designers who prefer solving real operational headaches over chasing the latest trends.

The role

As a Project Planning Assistant, you will act as the bridge between the technical work and the project schedule. Your day-to-day work will involve keeping our internal project boards updated and helping the team prepare for weekly demos. Because we are working with a major British infrastructure client, there are many moving parts, including data migration schedules and feature lists that need to be tracked clearly.

You will help the team by:

  • Updating task lists based on the results of our internal meetings.
  • Drafting clear, plain-language updates for our clients regarding project progress.
  • Checking that documentation for new features is complete and easy for the client to understand.
  • Organizing files and assets so that developers can find what they need quickly.
  • Helping to monitor project timelines to ensure we are meeting our fixed-price commitments.
  • Taking notes during technical discussions and summarizing the next steps.
  • Assisting with the preparation of walkthrough videos for the software we build.

What you bring

This is an entry-level position, so we are looking for foundational skills rather than years of professional history. You should be someone who naturally enjoys putting things in order. If you are the person who keeps their files organized and uses lists to manage your own tasks, you will fit in well here. You need to be a clear writer who can explain technical concepts in simple terms without using jargon.

Since this role is fully remote, you must be comfortable working independently and communicating through written messages. You should be someone who values honesty and is comfortable saying when a task is falling behind schedule. We value people who are reliable and follow through on the small details that keep a project running smoothly.

Helpful background

While we will provide training on our specific processes, the following items will help you get started:

  • Experience using basic office software or spreadsheets to track information.
  • A general understanding of what software developers do or a curiosity about how websites and databases work.
  • Basic familiarity with GitHub or similar tools used for tracking tasks.
  • Experience writing summaries or reports, perhaps from your studies or personal projects.
  • Comfort using video call software and messaging tools for daily coordination.
  • An interest in how large organizations, like those in the infrastructure sector, manage their operations.
