About the Role

This is an excellent opportunity for someone looking to start a career in project support and business administration, with full training provided. You will support HSBM Facilities Management contract managers by managing diaries/calendars, projects admin, emails, and providing customer service to external stakeholders.

What You'll Do at Work

  • Projects admin
  • Instruct work to staff and subcontractors
  • Supporting subcontractors with job queries
  • Keeping completion of jobs paperwork up to date and accurate
  • Prepare and submit quotes for the client
  • Client – Customer service, emails
  • Managing Diaries/Calendars for Contracts Managers
  • Taking appropriate action in a timely manner to respond to emails and telephone queries
  • Managing multiple email accounts
  • Supplier Invoices – check amounts against excel spreadsheets and paperwork
  • Adhering to health and safety, including but not limited to maintaining a clear workspace with clear access and egress, completion of DSE assessments, carrying out training
  • Participating in training
  • Assist colleagues and management with additional tasks as and when required
  • Working alongside colleagues within the business and outside organisations

What You'll Learn

Course Contents

Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information, and produce data analysis where required.

Produces accurate records and documents including: emails, letters, files, payments, reports, and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports, and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.

Training Schedule

The training is delivered in the workplace at 44A High Street, Fareham, PO16 7BQ. A college release day is not required.

About HSBM Facilities Management

HSBM Facilities Management is an established company specialising in residential maintenance and refurbishments, delivering reliable, high-quality workmanship with a professional and friendly approach. We are currently working on a large contract with MOD Housing covering an area spanning West Sussex along the coast to Cornwall. Our services include:

  • Electrical installations and repairs
  • Gas services and safety compliance
  • Plumbing maintenance and installations
  • Roofing repairs
  • Carpets and flooring
  • Full and partial property refurbishments
  • Asbestos removal and reinstatement

We currently have our Head Office in Fareham where we deal with all commercial, payroll, accounts, and admin Support. There are currently 16 staff in the Fareham office and 130 staff in total within the field or in our other offices in Plymouth and Gosport.
