Overview

We are seeking a Project Support / Document Controller to join a major hyperscale data centre campus development in North East England. This is a significant, complex programme involving multiple data centre buildings, major enabling works, substation construction, and environmental remediation.

This role will support the client-side project team by providing integrated oversight of project systems, controls, reporting, meeting governance, and information management. The successful candidate will help ensure consistency, quality, transparency, and effective governance across project tooling and processes to support delivery and decision-making.

The Role

The Project Support / Document Controller is responsible for coordinating and maintaining project systems, reporting standards, governance processes, records, and information flows across a large, multi-stakeholder project environment.

This role is suited to someone who is highly organised, proactive, detail-focused, and comfortable working across multiple interfaces including project managers, contractors, consultants, and client stakeholders.

Key Responsibilities

  • Manage project tooling from a client perspective, including SharePoint, Smartsheet, Cx Alloy, health and safety systems, and other agreed platforms.
  • Monitor that systems are structured, maintained, and aligned with project and client requirements.
  • Oversee access, governance, and use of common data environments and associated systems.
  • Drive consistency in processes, workflows, templates, and data standards across project tools.
  • Support stakeholder onboarding and provide guidance to encourage effective use of systems.
  • Coordinate and maintain project reporting, dashboards, and trackers, with support from project managers and team members where required.
  • Monitor the timely collection, analysis, and reporting of project data.
  • Establish and maintain reporting templates, governance standards, and document control processes.
  • Track KPIs, risks, overdue actions, and performance metrics, escalating issues where appropriate.
  • Manage meeting governance, including agendas, packs, minutes, actions, and decision tracking.
  • Establish and maintain a cross-functional RACI matrix covering client and contractor interfaces.
  • Support project controls, process improvement, systems integration, and compliance frameworks.
  • Act as a key point of coordination between the client team, project team, operational stakeholders, contractors, and external parties.
  • Maintain accurate project records, governance outputs, and reporting data to support effective project delivery.

Key Interfaces

You will work closely with:

  • Senior project leadership on reporting cadence, governance expectations, dashboards, escalations, and controls
  • Project managers and workstream leads across CSA, MEPH, OFCI, EHS, scheduling, cost, and engineering functions
  • Contractor document control and project controls teams on submissions, meeting outputs, action close-out, and data quality
  • Client stakeholders on reporting, decisions, actions, and information requirements
  • Project support and administrative team members on meeting preparation, tracker updates, and reporting coordination
  • System owners and platform administrators for project tools and data environments

What We Are Looking For

Essential Experience and Skills

  • Experience in project support, document control, project coordination, or project information management on medium to large construction or infrastructure projects
  • Practical experience with SharePoint, common data environments, reporting tools, trackers, and document registers
  • Experience coordinating meeting governance, including agendas, minutes, action trackers, and decision logs
  • Strong attention to detail and a disciplined approach to data quality, record keeping, governance, and audit trails
  • Ability to work confidently with project managers, contractors, consultants, and senior stakeholders
  • Strong written communication, organisation, and prioritisation skills
  • Ability to improve workflows, templates, reporting standards, and systems integration

Scope of the Role

This role focuses on project support, information management, governance, reporting, and systems coordination.

It does not include responsibility for:

  • Technical design or design approval
  • Direct management of construction works or contractor methods
  • Trade contractor supervision or performance management
  • Formal commercial management or cost certification
  • Formal contract administration, notices, or dispute resolution unless specifically delegated
  • Approving contractor submissions or authorising client decisions reserved to others
  • Operation of the completed facility

Typical Deliverables

Daily

  • Monitor project inboxes, document workflows, meeting outputs, and urgent information requests
  • Update action trackers, decision logs, issue logs, and document registers
  • Coordinate with project managers and workstream leads on reporting and governance inputs
  • Support meeting preparation, attendance records, minutes, and actions
  • Review missing inputs, overdue actions, and items requiring escalation
  • Maintain project filing and records in agreed systems

  • Prepare project support updates covering reporting, actions, document control, meeting governance, and information flow
  • Update key trackers, dashboards, and reporting inputs
  • Coordinate meeting packs, agendas, minutes, actions, and decisions
  • Review overdue actions, missing information, and escalation items
  • Update RACI and interface records where required
  • Review system usage, access issues, compliance, and data quality
  • Provide stakeholder summaries of key decisions, risks, actions, and governance priorities

Monthly

  • Prepare project support and document control summaries for governance reporting
  • Review dashboard and tracker quality, including completeness and overdue items
  • Review meeting governance effectiveness and action close-out performance
  • Update RACI and interface governance where needed
  • Review project systems, access, adoption, structure, and workflow consistency
  • Maintain a process improvement log for reporting and system enhancements
  • Summarise key client decisions, actions, approvals, and information requirements
  • Capture lessons learned, emerging issues, and escalate them
