Role Title: Project Support Officer

Duration

6 month initial contract (Likelihood of extension)

Location

Milton Keynes. Min 2 per week onsite. May be an expectation to come in more often for meetings etc.

Rate

TBC p/d Umbrella inside IR35

Role Purpose / Summary

The primary purpose of a Project Support Officer is to provide support to the Programme Manager and ensure a consistent governance approach to project delivery. It is crucial that the role holder is proficient in JIRA due to our ways of working that is focused on that specific tool to record, monitor and report on progress of the programme.

Responsibilities

Status Report RAG Reviews

  • Reviewing Status Reports to ensure consistency
  • Challenge current RAG
  • Review financials to check with BoM reporting
  • Update MI for BoM pack including key challenges and ensure path to green is clear

Programme Board Reporting

  • Collation of the Programme Board Packs
  • Updating Senior Leadership Team section
  • Completing accurate meeting minutes
  • Setting up all meetings with key stakeholders

Stage Gate Reviews

  • Supporting Project Managers with the state gate prep, including ensuring all documents are reviewed and linked to the Stage Enabler Tool
  • Review core documents and all tailored documents at each stage
  • Facilitate the Stage gate meeting
  • Ensure consistent governance within the programmes

Finance and Resource Review

  • Support Project Managers with their financial reviews following monthly actual updates
  • Ensure forecasts reflect any latest project actuals
  • Review total spend against approved budget and challenge any variances
  • Review Labour and Non Labour actuals and forecasts
  • Support with Resource forecasts and ensure latest actuals are reflected

PR Creation

  • Provide support to the PMO administrator with raising PR’s

Non Labour Invoices

  • Support PMO in ensuring the relevant sign off for all Non Labour invoices at a project level

Project Support

  • Support project managers on flagship projects where possible

RAID and Dependency Tracking

  • Provide support in maintaining a programme level RAID log and Dependency Tracker at a programme level

Programme Level Reporting

  • Support the programme managers with Programme reporting
  • PSOs interact with all of the PMO, as we provide support to projects
  • We will liaise with finance and resourcing on project spend and contractors and with the administrator for invoice queries. We also collate Portfolio level reporting for the PMO Lead as well as interacting regularly with the other PSOs

Who You Interact With

We work with Programme Managers and Project Managers to collate management information at a programme level, review and discuss project issues and carry out stage gates to ensure consistent governance. We also work with the Business Analysis and wider programme team to understand future demand within the programme. Within the wider business, we work with senior management including BoM members and Project Sponsors and business SME’s within each area of our programmes.
