Job Title: Project Support Officer

Job Description

This 6-month contract role (inside IR35) offers an experienced Project Support Officer the opportunity to support a major public sector transformation programme focused on the deployment and successful adoption of a new software service. Working in a hybrid pattern across the East of Scotland and home working, you will work closely with the Project Manager and wider Transformation Team to provide robust coordination, governance and administrative support throughout the full project lifecycle from planning to go-live and transition to business-as-usual.

Responsibilities

  • Support the delivery of a software implementation project from initial planning through to go-live and transition to business-as-usual.
  • Maintain comprehensive project documentation, including project plans, schedules, RAID logs, action trackers, and project registers.
  • Coordinate project meetings, workshops, and governance forums, including preparing agendas, arranging logistics, taking accurate minutes, and tracking actions to completion.
  • Assist with stakeholder communications and engagement activities, ensuring clear and timely progress reporting to all relevant parties.
  • Support training and user readiness activities, including scheduling training sessions, coordinating attendees, and maintaining accurate training records.
  • Track project milestones, dependencies, risks, issues, and key decisions, escalating concerns appropriately to ensure timely resolution.
  • Manage document control and version management, ensuring project records are accurate, up to date, and stored in line with agreed standards.
  • Support testing, acceptance, and sign-off processes by coordinating activities and ensuring that evidence and approvals are properly recorded.
  • Produce accurate project updates, reports, and management information to support effective decision-making and governance.
  • Work collaboratively with project, technical, and business stakeholders to support successful delivery outcomes and promote effective communication across the project.

Essential Skills

  • Proven experience in a Project Support Officer, Project Coordinator, or PMO Support role.
  • Demonstrable experience supporting software, digital, or business transformation projects.
  • Strong organizational and administrative skills, with meticulous attention to detail in documentation and record keeping.
  • Experience of project governance, reporting, and maintaining project controls such as RAID logs and action trackers.
  • Excellent communication skills, with the ability to engage effectively with a wide range of stakeholders.
  • Strong stakeholder management skills, with the ability to build productive working relationships.
  • Proficiency in Microsoft 365, including tools such as Word, Excel, PowerPoint, and Outlook.
  • Experience using project collaboration tools to support coordination, document sharing, and communication.

Additional Skills & Qualifications

  • Experience providing administrative and clerical support in a project or PMO environment.
  • Experience of minute-taking at meetings, workshops, and governance forums.
  • Familiarity with managing risks and issues within structured project environments.
  • Understanding of governance processes within software or business transformation projects.
  • Ability to work independently while contributing effectively as part of a wider transformation team.
