Projects Coordinator
Location: Gillingham, Kent (Office-Based)
We're working with a leading fire and life safety business seeking a Projects Coordinator to support its Projects Delivery team.
This is a key role focused on project administration, financial support, and coordination, ensuring projects are set up, managed, and delivered efficiently. You'll work closely with Project Managers, engineers, suppliers, and clients, helping to keep projects running smoothly from handover through to completion.
Key Responsibilities
- Convert quotations into live projects within SimPRO and support project handovers.
- Allocate projects to Project Managers and maintain accurate project records.
- Issue client order acknowledgements and manage project documentation.
- Order materials and equipment, and process deliveries.
- Support invoicing, purchase ledger approvals, and project cost tracking.
- Assist with RAMS, document control, and asset list updates.
- Act as a key liaison between clients, engineers, suppliers, and internal teams.
- Support departmental KPI achievement and project delivery targets.
- Provide holiday cover for engineer scheduling, subcontractor orders, timesheets, and expense processing.

About You
- Experience in project coordination, project support, or administration.
- Strong financial administration skills, including invoicing and cost control.
- Excellent organisational and communication skills.
- High attention to detail and ability to manage multiple priorities.
- Proficient with Microsoft Office, particularly Excel, Word, and Outlook.
- Customer-focused with a proactive and flexible approach.
- Experience with SimPRO would be advantageous.
