Role Purpose

Residential & Commercial Property Administrator plays a key role in the day-to-day operation of Marwood Surveyors, providing administrative, client service and business support across both residential and commercial surveying services.

The role acts as a central point of contact between clients, surveyors, estate agents, solicitors and other professional stakeholders, ensuring enquiries are handled efficiently from initial contact and quotation through to instruction, inspection and completion.

Key Responsibilities

Client & Survey Administration

  • Manage residential and commercial surveying enquiries from initial contact through to instruction and completion.
  • Prepare and issue quotations for a range of surveying and valuation services, ensuring the appropriate service and fee structure is identified.
  • Coordinate surveyor diaries, appointments and property access with clients, vendors, estate agents and other relevant parties.
  • Issue Terms of Engagement, invoices and booking documentation and ensure required documentation and payments are received.
  • Maintain accurate client, property and instruction records across internal systems.
  • Monitor live instructions and proactively follow up outstanding access arrangements, payments, documentation and client actions.
  • Provide clients with clear information regarding survey scope, timescales, report turnaround and next steps.
  • Liaise directly with surveyors regarding specific client requirements and ensure these are accurately communicated within inspection and booking notes.
  • Support post-report enquiries and arrange consultation calls between clients and surveyors where required.

Residential & Commercial Property Services

  • Support instructions across RICS Home Surveys, including Level 2 and Level 3 Building Surveys.
  • Coordinate Red Book valuations for purposes including probate, taxation, matrimonial matters, shared ownership, lease extensions and private transactions.
  • Support more specialist commercial and professional instructions, including SIPP valuations, Schedule of Condition instructions, Land Registry plans and monitoring surveyor appointments.
  • Review incoming enquiries and liaise with surveyors to establish whether instructions fall within the firm's expertise and scope of service.
  • Assist with complex enquiries by gathering property information and clarifying client requirements before surveyor review.

Client Relationship Management

  • Deliver a professional and responsive client experience throughout the instruction.
  • Act as a key point of contact for clients and professional partners.
  • Manage client expectations regarding availability, access, payment and report turnaround times.
  • Handle sensitive or challenging client communications professionally and work with senior management to resolve issues.
  • Support the firm's complaints process and escalate matters appropriately where required.
  • Encourage and monitor client feedback and online reviews to support the firm's reputation and service standards.
