Property Admin – Commercial Property Management

Team: Portfolio, London

Salary: £35,000 – £40,000 per annum, depending on experience

Working hours: 9.00am – 5.30pm

About the Role

I’m currently looking to speak with an organised and motivated Surveying Executive to join a busy Portfolio team in London.

This is a great opportunity for someone with at least one year’s experience in a similar property or surveying role who is looking to build their career within property management and gain broader exposure to client, occupier and portfolio management.

Working closely with a Senior Surveyor, you’ll provide a combination of property management, surveying and administrative support, taking ownership of a selection of properties and helping to ensure they are managed effectively on behalf of clients.

The role offers plenty of variety and will suit someone who is proactive, detail-focused and keen to develop their technical knowledge and take on increasing responsibility.

Key Responsibilities

Property & Client Management

  • Provide day-to-day property management and surveying support to the Senior Surveyor and wider team.
  • Take ownership of a selection of properties, supporting the effective management of client and occupier requirements.
  • Review leases and relevant property documentation and accurately update internal systems and records.
  • Respond to occupier and client correspondence, queries and requests for information in a timely and professional manner.
  • Attend occupier meetings and assist with ongoing relationship management.
  • Carry out site inspections relating to specific works, issues or occupier feedback.
  • Authorise and coordinate site works in conjunction with the Senior Surveyor.
  • Assist with occupier applications and other property management matters.

Service Charge & Financial Management

  • Assist with the preparation of service charge budgets and reconciliations.
  • Support monthly and year-end service charge processes.
  • Monitor invoices and expenditure and ensure relevant costs are appropriately recorded and reported.
  • Maintain oversight of void properties and ensure invoices are correctly managed and issued to clients.
  • Assist with void insurance requirements and ensure relevant obligations are met.

Compliance & Administration

  • Monitor statutory and internal compliance requirements across the portfolio.
  • Ensure insurance inspection works are completed, particularly where responsibility has been passed to occupiers.
  • Maintain accurate property management systems and complete relevant lease and property updates.
  • Assist with compliance records, documentation and reporting.
  • Support the team with general administration, database management and spreadsheet updates.
  • Prepare reports, correspondence and other documentation as required.
  • Maintain effective document control and ensure information is accurate and up to date.

What I’m Looking For

I’m looking for someone who is organised, proactive and keen to develop a career in property management and surveying.

Ideally, you’ll have:

  • At least one year’s experience in a similar property, surveying or property management role.
  • An interest in developing your career within property management.
  • Good working knowledge of leases and property documentation.
  • Strong organisational skills and excellent attention to detail.
  • The ability to manage competing priorities and meet deadlines.
  • Good numerical skills and confidence working with spreadsheets and financial information.
  • Strong written and verbal communication skills.
  • The confidence to communicate professionally with clients, occupiers, suppliers and colleagues.
  • Good report-writing and document management skills.
  • Strong IT skills, including Microsoft Office and Google Workspace.
  • Fast and accurate typing skills.
  • A proactive approach, with the ability to use initiative and take ownership of tasks.
  • A willingness to learn, develop and take on additional responsibility.
  • The ability to work collaboratively with colleagues and build positive relationships with internal and external stakeholders.
