Property & Compliance Administrator

Ampleforth Abbey Trust is looking for an organised, capable and proactive Property & Compliance Administrator to join our Property Services team.

You don't need to be a property or compliance expert.

If you have a strong administration background, excellent organisational skills and an eye for detail, we'd love to hear from you. The property, compliance and HSE elements of the role can be learned on the job, with support from our experienced team.

What will you be doing?

Reporting to the Head of Property Services, you'll provide essential administrative and operational support across our property portfolio.

Your role will include:

  • Providing day-to-day administrative support to the Head of Property Services
  • Managing calendars, meetings, appointments and correspondence
  • Preparing reports, presentations, minutes and documentation
  • Maintaining accurate property records, databases and filing systems
  • Coordinating purchase orders, invoices and expenses
  • Maintaining compliance trackers and monitoring inspection and certification dates
  • Supporting Health, Safety & Environmental administration
  • Maintaining accident, incident and near-miss records
  • Coordinating HSE training and certification records
  • Supporting the administration of risk assessments and RAMS
  • Liaising with contractors, suppliers, tenants and internal teams
  • Scheduling maintenance visits, inspections and service appointments
  • Tracking planned and reactive maintenance
  • Supporting contractor onboarding and documentation checks
  • Monitoring outstanding works, SLAs and service performance

What we're looking for

We're looking for someone who is:

  • An experienced administrator, ideally comfortable working independently
  • Highly organised, methodical and able to manage competing priorities
  • Confident communicating with colleagues, contractors and external suppliers
  • Accurate and comfortable working with records, deadlines and confidential information
  • Proficient in Microsoft Word, Excel and Outlook
  • A good written and verbal communicator

Property, facilities, compliance or HSE experience is an advantage – but it isn't essential. We're much more interested in finding someone with the right attitude, organisational ability and willingness to learn.

You'll be joining a unique organisation in a beautiful setting in the Howardian Hills, working alongside the Benedictine community and a friendly team of around 60 lay staff. Ampleforth welcomes thousands of visitors each year through its Retreat Centre, Visitor Centre, Shop and Tea Room.
