Job Title: Commercial Property Management Administrator

Location: First Commercial Bank, London Branch

Description

This is a full-time position. We are seeking a proactive, organised, and service-oriented Commercial Property Management Administrator to join.

Responsibilities

  • Building inspections and maintenance

    • Conduct daily inspections of common areas, including stairwells, lifts, and toilets.
    • Record, track, and follow up repairs and maintenance requests to ensure timely completion.
    • Obtain and review quotations, coordinate contractors, and monitor planned, reactive, and weekend works.
  • Tenant and lease administration

    • Act as a day-to-day point of contact for tenants, responding to enquiries professionally and promptly.
    • Prepare monthly or quarterly rental invoices and VAT statements.
    • Coordinate tenant move-ins and move-outs, lease documentation, and tenant requests with legal advisers and relevant internal teams.
    • Follow up rent arrears and assist with lease amendments where required.

  • Property finance and service charges
    • Reconcile property accounts and ledger entries, and prepare monthly income and expenditure summaries.
    • Prepare cost allocation schedules and supporting documentation.
    • Assist external auditors with annual service charge reconciliations and related queries.

Qualifications

  • At least two years’ relevant experience in commercial property administration, facilities coordination, construction or trades, office administration, or a similar role.
  • Practical understanding of commercial property management and day-to-day building maintenance.
  • Confidence with basic accounting, invoicing, and reconciliations.
  • Familiarity with UK building, health and safety, fire safety, and compliance requirements.
  • Business fluency in spoken and written English.
  • Strong Microsoft Office skills, particularly Word and Excel.
  • A highly organised, dependable, and accurate approach, with the diplomacy and follow-through needed to manage tenants, contractors, repairs, and operational tasks effectively.
