Property Administrator

Location: Alloa, Scotland (Hybrid)
Hours: 35 Hours Per Week, Monday to Friday
Salary: £24,000 - £26,000 DOE

Are you an organised, customer-focused professional looking to build a long-term career within the property sector?

We are looking for a driven and proactive Property Administrator to join a growing and supportive team. Whether you already have some property experience or come from a strong customer service, administration, housing, estate agency, account management or service-focused background, full training will be provided.

As part of your development, the successful candidate will receive full sponsorship to study towards the TPI Property Management Qualification, giving you the opportunity to gain an industry-recognised professional accreditation while building a rewarding long-term career.

The Role

This is a varied and rewarding position where you'll support the management of residential developments, coordinate maintenance projects, liaise with homeowners and contractors, and deliver exceptional levels of customer service.

You will play a key role in ensuring developments are maintained to a high standard while building positive relationships with residents, suppliers and contractors.

The role offers a mix of office-based and hybrid working, together with occasional visits to residential developments and homeowner meetings.

  • Coordinate planned and reactive maintenance works across residential developments
  • Obtain quotations and manage contractor tenders
  • Monitor contractor performance and quality standards
  • Arrange safety inspections and ensure follow-up actions are completed
  • Support the onboarding of new residential developments
  • Assist with budget monitoring and expenditure control
  • Keep homeowners informed regarding maintenance projects and updates

Customer Service

  • Build positive relationships with homeowners and residents
  • Respond professionally and efficiently to customer enquiries
  • Organise and coordinate homeowner meetings
  • Prepare agendas and meeting documentation
  • Produce and distribute meeting minutes
  • Resolve customer concerns and manage expectations

Administration

  • Manage a busy shared inbox and prioritise enquiries
  • Maintain accurate records using internal systems
  • Assist with insurance renewals and administration
  • Support invoicing and debt recovery processes
  • Update compliance and property records
  • Produce reports and maintain accurate documentation

About You

To be successful in this role, you will have:

  • At least 2 years' experience in a customer-focused, administration, housing, property, estate agency, account management or service environment
  • Excellent verbal and written communication skills
  • Strong organisational and time-management abilities
  • High levels of accuracy and attention to detail
  • Good Microsoft Office skills, particularly Excel
  • A proactive and solutions-focused approach
  • The ability to manage multiple priorities in a busy environment
  • A full UK driving licence and access to a vehicle
  • A genuine interest in developing a career within residential property management
