PROPERTY & OPERATIONS COORDINATOR - NOTTINGHAM
Location: Boulevard Wharf Student Accommodation, Nottingham, NG7 1SZ
Employment Type: Full-Time, Self-Employed Contractor
Compensation range: £32,000-£36,000 per annum, plus 10% commission on vending machine and coffee machine sales
About the Role
We are seeking a proactive, organised and commercially minded Property & Operations Coordinator to support the day-to-day management and smooth operation of our student accommodation building at Boulevard Wharf in Nottingham.
This is a varied, hands-on role combining student accommodation operations, tenant communication, tenancy administration, contractor coordination, maintenance oversight and general property management support.
The successful candidate will act as a key point of contact for residents and will help ensure that the building is well maintained, operational matters are dealt with efficiently and residents receive a professional and responsive service.
The wider business manages an extensive property portfolio, including a significant number of properties in London. While this position will be primarily based at Boulevard Wharf in Nottingham, there may be occasional requirements to visit and support other properties within the portfolio, including properties outside Nottingham.
For this reason, a full UK driving licence and access to your own vehicle are essential requirements for the position.
You will work closely with senior leadership and will be trusted with significant day-to-day responsibility. We are therefore looking for someone who takes ownership, communicates well, solves problems proactively and is comfortable managing multiple operational priorities independently.
Key Responsibilities
Student Accommodation & Resident Management
- Act as a key point of contact for residents regarding day-to-day property and accommodation matters.
- Manage tenant enquiries professionally and ensure issues are followed through to resolution.
- Support resident move-ins and move-outs, including relevant documentation and property processes.
- Assist with tenancy administration and maintain accurate tenant records.
- Support the administration of Assured Shorthold Tenancies (ASTs) and associated tenancy documentation where applicable.
- Monitor tenancy dates, renewals and relevant resident information.
- Assist with check-in/check-out processes and property inspections where required.
- Support the management of deliveries, parcels and other resident services.
- Maintain a professional, approachable and responsive relationship with residents.
- Identify opportunities to improve the overall resident experience.
Property & Building Operations
- Support the day-to-day operation of the student accommodation building.
- Carry out regular checks of communal areas and general building condition.
- Identify maintenance requirements and ensure issues are reported and addressed promptly.
- Coordinate repairs, maintenance works and other property-related activities.
- Monitor outstanding maintenance matters and follow up until completion.
- Help ensure the property remains clean, presentable, safe and well managed.
- Escalate significant maintenance, operational or resident issues to senior management when necessary.

Contractors, Cleaners & Suppliers
- Coordinate contractors, maintenance providers, cleaners and suppliers.
- Arrange access to the building and individual areas where required.
- Communicate clearly with contractors regarding required works.
- Monitor progress and follow up on incomplete or outstanding works.
- Check that agreed works have been completed appropriately.
- Maintain organised records of maintenance activities and contractor visits.
- Obtain quotations or supporting information when requested by management.
Tenancy & Property Administration
- Maintain accurate and organised property and resident records.
- Support AST and tenancy-related administration.
- Maintain records relating to move-ins, move-outs, inspections and maintenance.
- Use property management software and other digital systems to support daily operations.
- Maintain appropriate digital documentation and records.
- Assist senior management with property information and administrative requirements.
- Ensure important operational matters and deadlines are monitored and followed up.
Vending & Coffee Machine Operations
- Take responsibility for the day-to-day stocking and basic management of the on-site vending machine and coffee machine.
- Monitor stock levels and replenish products when required.
- Help maintain appropriate product availability and presentation.
- Monitor sales and identify opportunities to improve usage and revenue.
- Report technical or operational issues promptly.
Wider Property Portfolio Support
- Provide occasional operational support to other properties within the company's wider portfolio when required.
- Attend other properties for inspections, contractor access, operational matters or other reasonable property-management requirements.
- Travel to properties outside Nottingham, including within the company's London portfolio, on an occasional basis when required.
- Communicate with contractors, tenants, suppliers and other stakeholders across the portfolio.
- Support senior management with ad hoc property and operational projects.
Essential Requirements
Applicants must have:
- Minimum 6–12 months' relevant experience within property management, student accommodation, lettings, residential property, hospitality, building operations or another tenant-facing operational environment.
- Full UK driving licence – Essential.
- Access to your own vehicle – Essential.
- Legal right to work in the United Kingdom.
- Strong written and verbal communication skills.
- Excellent organisational and time-management skills.
- Ability to manage multiple priorities simultaneously.
- Ability to work independently and take ownership of tasks.
- Confidence dealing professionally with tenants, contractors and suppliers.
- Good general IT skills and confidence using digital systems.
- Strong attention to detail and record-keeping ability.
- Willingness to travel to other properties within the portfolio when reasonably required.

Candidates are not expected to have experience in every area listed above. We are particularly interested in applicants who have a good foundation in property, accommodation, lettings or tenant-facing operations and are capable of learning quickly.
