Role Overview

An exciting opportunity to join the UK and European Key Account Management team supporting one of Savills largest and fastest-growing Property Management mandates. Working closely with the UK Key Account Manager and wider European Key Account Management team, the Property Assistant will play a key role in coordinating client reporting, portfolio administration, financial processes, property onboarding and strategic projects, helping to drive consistency, operational excellence and exceptional client service across the portfolio.

This role operates within a fast-paced, client-focused environment and requires an individual who is highly organised, detail-oriented and capable of managing various priorities simultaneously. The role will play a key part in ensuring a structured and consistent approach to service delivery, reporting and operational excellence.

Key Responsibilities:

Key Account & Client Support

  • Support the UK Key Account Manager, European Key Account Management team and Surveyors
  • Coordinate client requests, actions and communications across multiple stakeholders.
  • Prepare presentations, reports and supporting documentation for client meetings and reviews.

Reporting & Portfolio Analysis

  • Prepare, coordinate and distribute monthly, quarterly and ad hoc client reporting.
  • Produce KPI management information to support operational decision-making.
  • Maintain portfolio trackers and reporting, ensuring data accuracy and consistency.

Property Onboarding & Portfolio Administration

  • Coordinate the onboarding, mobilisation and handover of newly acquired properties.
  • Support due diligence activities, compliance checks and documentation management.
  • Maintain accurate property records across CRM and other business systems.

Financial Coordination

  • Support annual budget-setting processes and CapEx reporting.
  • Assist with management fee tracking, invoicing processes and debt reporting.
  • Monitor budget versus actual expenditure and investigate variances with operational teams.

Project & Process Coordination

  • Coordinate projects, workstreams and strategic initiatives across the UK and European portfolio.
  • Monitor delivery milestones, actions and deadlines, ensuring stakeholder accountability.
  • Assist with documenting and improving operational processes and procedures.

Stakeholder Management

  • Liaise with internal and external stakeholders across UK and Europe.
  • Coordinate meetings, maintain action logs and monitor completion of agreed actions.
  • Build effective working relationships across the wider account team.

  • Maintain CRM records, reporting systems and portfolio databases.
  • Produce reports from internal systems including Compass, Dynamics and client portals.
  • Ensure consistency of portfolio information across internal and client-facing platforms.

General Administration

  • Manage shared mailboxes, correspondence and day-to-day administrative activities.
  • Prepare emails, letters, forms and supporting documentation as required.
  • Undertake ad hoc projects and responsibilities requested by the business.
