About the role
At Thorntons, we’re proud to be market-leading property specialists. Our busy Property Letting team is dedicated to delivering an exceptional service to landlords and tenants alike, managing properties throughout the lettings journey and ensuring they are well cared for, professionally managed and compliant with relevant requirements.
We’re now looking for a Property Letting Assistant to join our team. In this varied and fast-paced role, you’ll play a key part in supporting the successful letting and ongoing management of properties, from preparing properties for marketing and arranging viewings through to tenancy administration, tenant communications, maintenance coordination and end-of-tenancy processes.
Working closely with the Property Letting Manager, you’ll liaise with landlords, tenants, contractors and colleagues across the firm to ensure properties are well managed and issues are dealt with promptly and professionally. Your work will help deliver a responsive service, support positive experiences for landlords and tenants, and ensure properties are managed to a high standard and in line with relevant legal, safety and regulatory requirements.
- Lettings Support: Supporting the end-to-end lettings process, including preparing leases and occupancy agreements, processing notices, arranging appointments and viewings, following up on lease signing and deposits, and ensuring properties are ready to be marketed.
- Property Marketing: Updating property listings and supporting property marketing activity, ensuring information is accurate and properties are presented effectively. You will also help ensure key requirements, such as EPC ratings, landlord registration and mortgage consent where relevant, are in place before properties are marketed.
- Tenant & Landlord Support: Acting as a key point of contact for tenants and landlords, handling day-to-day enquiries, providing updates and helping to resolve property-related issues promptly and professionally.
- Property Management: Supporting property inspections, maintaining accurate condition records and identifying any maintenance requirements. You will coordinate reported faults and repairs with contractors, following up on outstanding quotes and invoices to help ensure work is completed efficiently and to the required standard.
- Compliance & Records: Maintaining accurate property and tenancy records and helping ensure legal, regulatory and safety requirements are met, including gas safety certificates, electrical checks and other mandatory inspections.
- Viewings & Access: Arranging and conducting property viewings when required, providing feedback to landlords and managing access arrangements with sitting tenants to ensure viewings and inspections run smoothly.
- Tenancy & Deposit Administration: Supporting the administration of tenancy deposits, including processing returns and claims, liaising with deposit protection schemes and comparing inventories at check-out where deductions may be required.
- Administrative Support: Maintaining organised and up-to-date landlord and tenant records, preparing or arranging inventory reports, processing payments, scanning invoices, dealing with mail and providing general administrative support to the Property Lettings team.
- Great Client Service: Welcoming clients to the office, responding to general enquiries from prospective tenants and landlords and providing helpful, professional support throughout the lettings process.
- Reporting & Marketing: Monitoring and reporting on property listing performance and contributing to the development of the lettings marketing approach, helping to maximise interest in available properties.

What you’ll need
We’re looking for:
- Some experience in a property, lettings, estate agency or a customer-focused administrative role.
- Strong customer service and communication skills, with the ability to build positive relationships with landlords, tenants and contractors.
- Excellent organisational and multitasking skills, with the ability to manage multiple priorities and follow actions through.
- Strong attention to detail, particularly when preparing documentation, maintaining records and managing compliance requirements.
- Good administrative and IT skills, with the ability to work confidently with relevant systems and processes.
- A proactive and practical approach, with the ability to respond to issues and coordinate maintenance effectively.
- Confidence dealing with a range of people and situations, using good judgement and a professional approach.
- An interest in property and lettings, with a willingness to learn and develop your knowledge.
