Property Management Administrator

Pay: £14.00 per hour

About the Role
Sterling Wealth Associates Property Limited is looking for an organised, reliable and proactive Property Management Administrator to assist with the day-to-day administration of our property portfolio.
The role involves communicating with tenants, coordinating contractors, managing property compliance renewals, tracking tenancy dates and maintaining accurate property records using our AI-powered property management system, Brickwise.
Key Responsibilities
Tenant Communication
- Respond to tenant enquiries by email and telephone.
- Record and follow up on maintenance requests.
- Coordinate tenant move-in and move-out arrangements.
- Maintain accurate tenant and tenancy records.
Property Compliance and Renewals
- Monitor expiry dates for Gas Safety Certificates (CP12), EICRs and EPCs.
- Arrange inspections and certificate renewals with contractors.
- Track property licences and other compliance requirements.
- Upload updated documents and flag upcoming deadlines.

Contractor and Maintenance Management
- Liaise with plumbers, electricians, gas engineers and other contractors.
- Obtain quotations and arrange repairs and maintenance.
- Coordinate access with tenants and contractors.
- Track outstanding jobs and follow up until completion.
- Maintain records of quotations, invoices and completed work.
Brickwise AI Property Management System
- Maintain accurate property and tenant information in Brickwise.
- Monitor reminders, alerts, compliance deadlines and outstanding tasks.
- Update maintenance records and track jobs through to completion.
- Use the system to improve administrative efficiency and reporting.
Tenancy and Property Portfolio Administration
- Maintain an up-to-date register of properties and tenants.
- Track tenancy agreements (ASTs), start dates, end dates and renewal dates.
- Record move-in and move-out dates.
- Maintain inventories, check-in and check-out reports, keys and tenancy documents.
- Monitor vacant rooms and upcoming vacancies.

General Administration
- Maintain spreadsheets, digital files and property records.
- Assist with rent records, outstanding payments and property expenses.
- Track contractor invoices and other property-related costs.
- Prepare updates and reports for management.
- Follow up on outstanding tasks and meet deadlines.
- Handle confidential information professionally.
Skills and Requirements
- Strong organisational and administrative skills.
- Good written and verbal communication.
- Excellent attention to detail.
- Confident using computers, spreadsheets, email and digital systems.
- Ability to manage multiple tasks and deadlines.
- Professional approach to tenants, contractors and colleagues.
- Willingness to learn and use AI-powered property management tools.
- Previous experience in property administration, lettings or property management is desirable.
