We are seeking a highly organised and proactive Property Management Assistant to support two experienced Property Managers within a well-established property management business.

This is a varied, hands-on role requiring excellent organisational skills, strong attention to detail, and the ability to manage multiple priorities while delivering excellent customer service to clients, tenants, and leaseholders.

Key Responsibilities

  • Support two Property Managers with the day-to-day management of a residential property portfolio.
  • Arrange reactive maintenance call-outs and coordinate contractors to ensure repairs are completed efficiently.
  • Schedule planned maintenance and statutory servicing works as required.
  • Liaise with tenants, leaseholders, contractors, and clients, responding to both routine and more complex property management enquiries.
  • Handle queries relating to service charges, repairs, and maintenance works.
  • Process insurance claims from initial notification through to completion, including arranging repair works and managing contractor invoices.
  • Process, check, and manage supplier invoices accurately.
  • Assist with property management administration.
  • Maintain accurate records using the company's property management systems.
  • Ensure compliance with relevant health and safety requirements.

Key Requirements

  • Previous experience within residential property management or block management.
  • Excellent organisational and time management skills.
  • Strong communication skills with the ability to build relationships with clients, tenants, leaseholders, and contractors.
  • Good administrative and financial processing skills, including invoice management.
  • High level of accuracy and attention to detail.
  • Proficient in Microsoft Office, particularly Outlook, Word, and Excel.
