We are looking for a highly reliable, hands-on and commercially minded Property & Projects Manager to oversee a private portfolio of properties in London.

The successful candidate will be responsible for the day-to-day management, maintenance, financial control and operational performance of three existing properties, as well as acting as the owner's representative in relation to the construction and delivery of a fourth property.

The current portfolio includes:

  • Office property – ensuring smooth day-to-day operation, maintenance and coordination with contractors and service providers;
  • Private villa/residential property – overseeing maintenance, security, household/property services and overall condition of the asset;
  • Rental property – managing tenants, rental operations, maintenance, contractors and property-related financial matters;
  • New property under construction – representing the owner's interests throughout the construction process, coordinating contractors and consultants, monitoring budget, timelines, quality and delivery.

This is a London-based, hands-on position requiring regular physical presence at the properties and construction site.

Key responsibilities:

  • Take full operational responsibility for the three existing properties, ensuring that each asset is maintained and managed to a high standard.
  • Conduct regular property inspections and proactively identify maintenance, repair, safety and operational issues.
  • Develop and maintain preventive maintenance schedules for all properties.
  • Coordinate repairs, maintenance, cleaning, security, landscaping, utilities and other property-related services.
  • Source, negotiate with and manage contractors, suppliers and service providers.
  • Maintain accurate documentation relating to properties, contracts, warranties, insurance, utilities and maintenance history.
  • Ensure all properties comply with applicable UK health & safety, fire safety, insurance and property-related requirements.

Rental Property Management

  • Manage the day-to-day relationship with tenants and/or letting agents.
  • Monitor tenancy obligations, rental payments, maintenance requests and property condition.
  • Coordinate repairs and resolve property-related issues efficiently.
  • Monitor rental property costs and provide the owner with clear reporting on income, expenses and significant issues.
  • Support tenancy renewals, move-ins and move-outs where required.

Office & Private Residence Management

  • Ensure that the office and private residential property remain fully operational and maintained to the required standard.
  • Coordinate service providers and contractors and ensure agreed service levels are delivered.
  • Manage urgent maintenance situations and ensure rapid resolution of operational issues.
  • Maintain discretion and confidentiality when dealing with the private residence, family representatives, guests and confidential information.

Construction Project Oversight

  • Act as the owner's representative for the fourth property currently under construction.
  • Coordinate communication between the owner, architects, designers, project managers, contractors, consultants and suppliers.
  • Monitor:
    • construction programme and milestones;
    • project budget and expenditure;
    • contractor performance;
    • quality of works;
    • variations and change orders;
    • procurement and delivery schedules;
    • risks, delays and outstanding decisions.
  • Conduct regular site visits and provide structured progress reports to the owner.
  • Challenge contractors and consultants where timelines, budgets or quality standards are not being met.
  • Review quotations, invoices and proposed variations before escalating them for owner approval.
  • Maintain a clear project tracker covering budget, timeline, risks, decisions and outstanding actions.
  • Support snagging, handover, commissioning and transition of the completed property into ongoing property management.

Financial & Reporting Responsibilities

  • Prepare and manage annual operating budgets for the property portfolio.
  • Track actual expenditure against approved budgets.
  • Review contractor quotations and invoices and identify unnecessary or excessive expenditure.
  • Maintain visibility over CAPEX and OPEX across the portfolio.
  • Provide the owner / investment team with a concise monthly property report covering:
    • property status;
    • financial performance and expenditure;
    • maintenance and repairs;
    • rental matters;
    • construction progress;
    • key risks and issues;
    • upcoming decisions and required approvals.

Candidate Profile

Required Experience

  • Minimum 5+ years of relevant experience in property, estate, facilities or residential portfolio management.
  • Proven experience managing multiple properties simultaneously.
  • Strong understanding of property maintenance, contractors and building services.
  • Experience managing or overseeing construction, refurbishment or fit-out projects.
  • Strong contractor and supplier management experience.
  • Good understanding of budgets, quotations, invoices and cost control.
  • Experience working in the UK property market.
  • Ability to operate independently and represent the owner's interests with external parties.
  • Must be based in London or within practical commuting distance and available for regular on-site presence.

What We Are Looking For

This role would suit someone who approaches the properties from an owner's perspective rather than simply an administrative property-management perspective.

We are looking for a person who will take genuine ownership of the portfolio, understand where money is being spent, challenge contractors when necessary, identify risks before they become problems, and ensure that every property is maintained and developed to the required standard.

The successful candidate should be equally comfortable inspecting a property, negotiating with a contractor, reviewing a construction budget, resolving an urgent maintenance issue and presenting a concise update to the owner.
