We are looking for a reliable and organised Property Manager to join our team in London.

The role will focus on ensuring our properties are well managed and that tenants receive a prompt and professional service. You will be the main point of contact for tenants when issues arise, coordinating with contractors, maintenance workers and other service providers to make sure problems are resolved efficiently.

This is primarily an office-based role, with occasional travel to properties when required. A full UK driving licence is therefore essential.

The ideal candidate will be organised, practical, responsive and comfortable managing multiple tasks at the same time.

Key Responsibilities

Tenant Management

  • Act as a main point of contact for tenants regarding day-to-day property issues and queries.
  • Respond to tenant enquiries professionally and promptly.
  • Log, track and follow up on maintenance requests and other tenant issues.
  • Coordinate with tenants to arrange access for contractors and maintenance workers.
  • Ensure tenant issues are followed through to completion rather than simply passed on.
  • Maintain good communication with tenants throughout the resolution process.

Maintenance & Contractor Coordination

  • Coordinate with plumbers, electricians, handymen, cleaners and other contractors.
  • Arrange appointments and access to properties.
  • Obtain quotations where required and assist with comparing costs.
  • Follow up with contractors to ensure work is completed within agreed timescales.
  • Check that reported issues have been resolved satisfactorily.
  • Escalate urgent or serious maintenance issues when necessary.
  • Maintain accurate records of maintenance work and contractor activity.

Property Management Administration

  • Carry out general property management administration and record keeping.
  • Maintain accurate tenant, property and contractor records.
  • Manage emails, telephone calls and day-to-day correspondence.
  • Update spreadsheets, property management systems and internal records.
  • Assist with invoices, quotations, work orders and other property-related documentation.
  • Monitor outstanding tasks and ensure they are followed up.
  • Support the wider property management team with general administrative duties.

Property Visits

  • Visit properties when required to inspect issues, meet contractors or deal with tenant-related matters.
  • Attend properties to help coordinate maintenance and other works.
  • Report any issues identified during property visits.
  • Take photographs and provide updates to the office where appropriate.

About You

We are looking for someone who:

  • Has experience in property management, facilities management, administration, customer service or a similar role.
  • Is highly organised and able to manage multiple tasks simultaneously.
  • Has excellent communication and people skills.
  • Is confident dealing with tenants, contractors and suppliers.
  • Takes ownership of problems and follows them through to resolution.
  • Is comfortable using email, Microsoft Office and basic administrative systems.
  • Has good attention to detail and strong record-keeping skills.
  • Can work independently while also collaborating with the wider team.
  • Is practical, proactive and able to deal with unexpected issues calmly.
  • Has a full UK driving licence and is comfortable travelling to properties across London when required.

Desirable

  • Previous experience in residential property management.
  • Knowledge of common property maintenance issues.
  • Experience coordinating contractors and maintenance works.
  • Familiarity with property management software.
  • Knowledge of UK residential property procedures and landlord/tenant requirements.
