Property Operations & Asset Coordinator
About the Role
We are seeking an organised, proactive and entrepreneurial Property Operations & Asset Coordinator to join our growing team.
This is a varied role that combines field-based property management with office-based operational support. The successful candidate will be responsible for ensuring that vacant properties are secured, maintained, inspected and presented to a high standard while also assisting with day-to-day office tasks.
As the company continues to grow, this individual will play an important role in developing our in-house property maintenance capability and improving operational processes.

Rather than performing the same tasks every day, you'll play a key role in shaping how the business operates, developing new services and helping deliver exceptional service to our clients.
Key Responsibilities
- Conduct occupancy inspections of residential and commercial properties, securing vacant sites in conjunction with locksmiths and other appointed professionals where required.
- Carry out regular property inspections and prepare detailed inventory, condition and inspection reports, including photographic records.
- Coordinate access to properties for contractors, utility providers, estate agents, surveyors, valuers, Bailiffs and Receivers.
- Manage the security, presentation and compliance of vacant properties, identifying and addressing maintenance, security and health & safety issues.
- Coordinate property-related services including utility isolations, Torts Notices, site clearances and reactive or planned maintenance works.
- Obtain, coordinate and monitor contractor quotations and performance to ensure works are completed safely, on time and to the required standard.
- Maintain accurate property records, inspection reports and operational documentation, ensuring effective communication with clients, receivers and contractors.
- Support the day-to-day operations of the business through scheduling, office administration, stock and equipment management, and operational coordination.
- Identify opportunities to improve operational efficiency, enhance service delivery and contribute to the continuous development of business processes.
- Support the company's growth by assisting in the development of in-house property maintenance services and taking a proactive, entrepreneurial approach to new opportunities.

Skills & Experience
- Excellent organisational, planning and time management skills, with the ability to manage multiple priorities and work independently.
- Strong written and verbal communication skills, with the ability to prepare clear, accurate and professional reports.
- Excellent attention to detail and a commitment to maintaining high standards of work.
- Confident using Microsoft Office and other digital systems to manage records, schedules and operational documentation.
- Professional, trustworthy and self-motivated, with the ability to build positive relationships with clients, contractors and occupiers.
- Comfortable working both in the office and on-site, with a flexible approach to a varied workload.
- Full UK driving licence and willingness to travel regularly across the UK.
- Good interpersonal skills and a proactive, problem-solving mindset.
- Previous experience in property management, facilities management, asset management and maintenance coordination would be preferred.
- Knowledge of vacant property management, together with experience in coordinating contractors, practical property maintenance skills, Health & Safety qualifications (e.g. IOSH or First Aid), and the ability to produce clear, high-quality property photography would be a bonus.

Working Environment
This is a hybrid role split between:
- Property inspections and site visits.
- Office administration and operational management (based in our Hammersmith office).
