We’re looking for an organised and proactive Property Operations Assistant to become an integral part of a growing property investment business.

This is far more than a traditional administration role. You’ll work closely with the Director and wider team, supporting the day-to-day operations of a substantial residential property portfolio and helping ensure acquisitions, refinancing, legal matters, compliance and operational activities run smoothly.

You’ll be trusted with real responsibility from day one and will play an important role in keeping the business organised, efficient and moving forward.

The Role

As Property Operations Assistant, you’ll coordinate a wide range of operational and administrative activities across the business.

Working alongside senior stakeholders, you’ll liaise with solicitors, mortgage brokers, lenders, contractors, tenants and suppliers while ensuring property records, documentation and operational processes remain accurate and up to date.

No two days are the same. This role would suit someone who enjoys solving problems, staying organised and taking ownership of their work.

Key Responsibilities

Property Operations

  • Coordinate day-to-day operational activities across the property portfolio
  • Maintain accurate property records, tenancy information, compliance documentation and lease files
  • Coordinate maintenance requests and contractor communications
  • Monitor outstanding actions to ensure deadlines are met
  • Support the administration of acquisitions, refinancing and property transactions
  • Maintain confidential business and property records

Legal & Transaction Support

  • Liaise with solicitors, mortgage brokers, lenders, surveyors and other professional advisers
  • Prepare documentation required for purchases, refinancing and annual lender reviews
  • Assist with conveyancing and legal administration throughout property transactions
  • Ensure documentation is complete, accurate and submitted within required timescales

Business Operations

  • Coordinate diaries, meetings and operational priorities where required
  • Prepare reports, spreadsheets and business documentation
  • Manage correspondence with tenants, suppliers and external stakeholders
  • Process invoices and assist with operational reporting
  • Support senior management with day-to-day operational projects

Continuous Improvement

  • Identify opportunities to improve systems, processes and ways of working
  • Help implement new technology and operational procedures
  • Take ownership of tasks and see them through to completion
  • Contribute to building an organised, efficient and scalable operation

About You

You’ll thrive in this role if you are:

Skills & Experience

Essential

  • Previous experience within a property management, property investment, estate agency, residential development or real estate business
  • Experience supporting a busy operational or administrative function
  • Excellent organisational and time management skills
  • Strong Microsoft Office skills, particularly Word and Excel
  • Excellent written and verbal communication skills
  • High level of accuracy and attention to detail
  • Ability to prioritise competing deadlines and work independently

Desirable

  • Exposure to conveyancing, refinancing or legal documentation relating to residential property
  • Experience liaising with solicitors, mortgage brokers, lenders or surveyors
  • Experience using Xero or similar accounting software
  • Experience using property management software
  • Degree educated or equivalent professional experience
  • Comfortable using technology and AI tools to improve efficiency
