Role Summary

We are seeking a highly organised and proactive Property Support Officer to provide essential coordination and administrative support across the Clergy Housing function and the wider Property & Buildings team. The role supports multiple workstreams, including those that enable and serve parishes, ensuring the smooth, efficient, and compliant delivery of property-related services.

Working closely with the Property & Buildings team and diocesan colleagues, the postholder will help drive workstreams forward by organising meetings, maintaining accurate records, managing communications, and supporting financial and reporting processes. Through strong organisational skills, attention to detail, and a proactive approach, the role contributes to the Diocese of Liverpool’s vision for growth, justice, and a sustainable future for the Church.

Duties And Key Responsibilities

Key responsibilities and tasks include:

Coordination & Service Delivery

  • Coordinate day-to-day property activities across clergy housing and wider property workstreams, including repairs, maintenance, and project activity.
  • Support clergy housing operations, including property allocations, clergy moves, and ongoing repairs to homes owned and maintained by the Diocese.
  • Provide coordination support to parish-facing workstreams, enabling delivery of advisory services to support local building stewardship and development.
  • Work closely with the Projects Delivery team to support programme planning, coordination, and delivery.

Administration, Data & Systems

  • Maintain accurate and up-to-date property and asset records, including occupancy, repairs, compliance, and project data.
  • Manage and update systems (e.g. housing/property databases and Fixflo), ensuring data integrity and accessibility.
  • Prepare reports and documentation to support decision-making, performance monitoring, and governance requirements.

Communication & Stakeholder Support

  • Act as a key administrative point of contact for clergy, parishes, contractors, and internal stakeholders.
  • Manage and coordinate communications, ensuring timely updates on repairs, projects, and services.
  • Organise meetings, prepare agendas, and record actions to support team and programme delivery.

Team & Workstream Support

  • Work collaboratively across Clergy Housing, Property & Buildings, and diocesan teams to support shared objectives.
  • Contribute to continuous improvement of processes, systems, and service delivery.
  • Provide flexible administrative support across multiple workstreams, ensuring a consistent, organised, and customer-focused service.

Financial & Contract Administration

  • Support the processing of quotes, works orders, and contractor instructions.
  • Assist with invoice processing and maintaining accurate financial records.
  • Support budget tracking, financial reporting, and value-for-money monitoring across housing and wider programmes.
  • Maintain contractor records and support contract administration.

Compliance & Governance Support

  • Assist in monitoring statutory compliance across clergy housing and relevant building workstreams (e.g. gas safety, electrical checks, EPCs, asbestos).
  • Ensure all compliance records, certification, and documentation are complete, accurate, and up to date.
  • Support audits, inspections, and governance processes as required.

In addition, the postholder will support and contribute to the delivery of the major housing upgrade programme funded through the Diocesan Investment Programme, while undertaking such other duties as may be reasonably directed.
